Position Summary:

Oversees operational needs of the client facility, while remaining in compliance with local, state and federal regulations. Coordinates the tasks of the subordinate staff. Assures that staff is trained in accordance with corporate guidelines. Regularly and effectively communicate and interact with staff, clients, senior management, vendors and other stakeholders.

Essential Duties and Responsibilities:

OPERATIONS

• Leads and manages operations to monitor facilities systems, effecting repairs and maintenance as necessary.

• Develop and implement site-specific office standards, policies and procedures.

• Maintain and support facility goals and objectives relating to client/customer service surveys.

• Develop tools and methods to promote efficient and effective operations with the ability to recognize inefficiencies and propose corrective actions.

• Hands-on, team oriented management of maintenance and technicians, with the ability to thrive in a dynamic environment.

• Plan work schedules, hours, areas of work and job duties to ensure adequate services are rendered to all areas.

• Manage effective use of vendor partners.

• Provide monthly administrative progress reports relative to short term accomplishments, future short term plans and staff education/training.

• Conduct regular staff meetings.

• Ability to identify, lead and develop strong talent to achieve business and career goals.

• Availability for after hours or emergency situations.

• Work with project/construction teams to develop scope of work and provide solutions.

• Ensure accurate data is captured to update asset records via designated reporting tool.

• Create/manage innovative projects to provide a collaborative work environment.

SAFETY AND SECURITY

• Provides, promotes and models a safe work environment for all parties. Utilizes program methodologies to identify risks and mitigate those using approved programs and best practices.

• Ensures compliance with all safety and security protocols

• Work as a fire warden to ensure emergency response plans including evacuation, inclement weather, medical emergencies and after-hours emergency response and environmental health and safety are implemented and adhered to.

• Anticipate, recommend, and manage vendor contract services for health and life safety while implementing and maintaining best practices

PURCHASING AND VENDOR MANAGEMENT

• Review and verify vendor provided reports and invoices.

• Source vendor quotes for recommended services.

• Communicate with vendors on purchase orders and payments.

• Manage the execution of various sit amenity programs remotely.

• Oversee and assist in specialty services provided on site.

EDUCATION and/or EXPERIENCE

• Bachelor’s Degree in a related field

• 2-4 years Facilities and/or Supervisory experience or an equivalent combination of education and experience.

• Competence with use of office systems and applications - office equipment, telephone systems, computer and smart phone applications are required.

• Experience with Microsoft Office (Word, Excel, and PowerPoint).

• HVAC license preferred

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to speak clearly and effectively to clients, management and all staff.

MATHEMATICAL SKILLS

Ability to add and subtract two digit numbers and to multiply and divide. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
