Vessel Manager Operations (Operations Agent)

The Operations Agent is the main vessel contact person and will be assigned specific ships for which they will be responsible from the first communication until the final accounting closeout. The agent coordinates all the logistical requirements of a vessel's port call and is responsible for numerous tasks related to the vessel's function. Many tasks will be conducted on a routine basis, while others will vary on an ongoing basis and may even be a one-time requirement based on the vessel's specific needs and requests. The operations agent represents the owner and/or operator of a vessel and is primarily responsible for seeing that their interests and needs are being protected and satisfied as appropriate. This position requires that the agent carry a cell phone and be available 24/7, and work on-call on a rotating basis (usually weekly). The agent will be required to fly to remote locations for boarding of vessels on occasion.
The following list is comprised of routine tasks that must be completed:
Preparation and submission of notices of arrival (e.g. Customs, USCG, USDA, terminal, etc.)
Quickly respond to all communications from vessel/principal/related parties
Maintain close communication with vessel prior to and during port call
Confirm eta with vessel and arrange all services accordingly (e.g. pilots, tugs, berth, provisioning, crew change, etc.)
Confirm vessel documentation expiration dates
Assist vessel with Custom paperwork preparation and submission
Assist vessel with Immigration paperwork preparation and submission
Assist vessel with boarding by Immigration and Customs
Assist vessel with arrangements of crew changes (e.g. meet & greet on arrival, hotel, clearance with Immigration/Customs)
Facilitate ongoing communications between vessel and cargo supplier/receiver
Arrange provisions, doctor visits, equipment repairs, etc. as requested by vessel
Discuss all vessel requirements and situations with Manager daily
Completion of after-sailing port log for principal
Review and closeout of vessel file
Review and closeout of vessel accounting

Must have a good command of English (spoken & written) and be able to relay information appropriately
Must have a good telephone manner
Must be focused and not easily distracted
Must be helpful, curious and nosy
Must be reliable, punctual and have a strong work ethic
Must have a good short- and long-term memory
Must be computer literate (MS Word, MS Outlook, MS Excel, etc.)
Must be able to learn/comprehend quickly
Must be respectful and understanding of authority/hierarchy
Must be able to follow directions and ask appropriate questions
Must be very resourceful, creative and be able to work "outside the box"
Must be detail oriented, be able to multi-task and prioritize
Must work well under pressure and in a fast paced environment
Must be a good listener and communicator
Must be willing to carry and answer a cell phone 24/7
Must be willing to travel to remote locations as required
Must be physically capable of boarding a vessel (e.g. climbing pilot's ladder, climb gangways/stairs, navigate congested decks with sometimes uncertain traction, etc.)
Must dress in appropriate work attire
Must have access to adequate transportation to get to work on time
Must be willing to work long hours, including weekends and holidays as required
