Access Alaska's Mat-Su Office is seeking a candidate for our Full Time Receptionist/Intake and Referral position. The right candidate would demonstrate the ability to effectively manage incoming telephone calls and visitor traffic, initial Intake & referral screening. Administer the COVID-19 Mitigation Plan.

High School Diploma

Three (3) years general office experience with one (1) year Front Desk Receptionist experience

Experience on multi-line phone system

Experience with creating files and maintaining them

Maintaining and procurement of office and kitchen supplies

Experience with Microsoft office Outlook, Word, and Excel

Experience operating basic office equipment

Experience operating a mail/postage machine

Ability to operate Video Conferencing equipment, Microsoft office Teams, Zoom, and Go to

Meeting experience or ability to learn would be helpful.

Knowledge of State and Federal regulations regarding HIPAA and Confidentiality.

Maintain Independent Living and Consumer Directed Personal Care Service Information

Materials.

Scanning, printing, and making of copies as needed

Ability to type 35 plus words per min

Ability to learn and preform the eligibility determination process and coordinate or complete

appropriate referrals as the Information and Referral person.

Ability to communicate effectively both verbally and in written form

Wage Range DOE: $15.63 to 17.58

Job Description

Essential Functions:

Primary functions: Performs administrative tasks, front desk reception and performs Initial Intake& Referral process

Core Responsibilities:

Screens and directs all incoming calls & messages to the appropriate person or department

Coordinates conference calls

Sets up bi-weekly video conference for all staff meeting.

Assists consumers and visitors

Assist IL Manager with consumer files, coordinating groups, I&R process

Contact for copy machines, complete monthly summary

Trouble shoot postage machine& keep up to date

Route incoming mail and Add postage and outgoing mail, express, special delivery or courier services

Keeper of the keys/make copies as required

Ensure Janitorial is done regularly

Ensure posted documents are current

Keep main office area tide and free of clutter

Attends staff meetings and take meeting minutes

Assist with initial needs assessment and eligibility determination, and coordinate or complete appropriate

referrals as the general office Information and Referral person.

Maintains filing system to ensure accessibility to agency information.

Performs regular monthly facility inspections

Maintains office and kitchen supplies including the procurement of necessary supplies.

All other tasks as assigned

Education & Training: High School Diploma or GED

Experience: 3 years of general office experience 1 year of Receptionist experience preferred

Special Skills:

Excellent customer service

Professional appearance

MS Office Outlook Word, & Excel

Ability to type at least 35 words per min

Ability to communicate effectively with a wide range of people

Maintain Confidentiality/HIPAA

Work well under pressure when required to multitask

Detail oriented

Postage machine

Learning Curve: 3 months

Equipment Used: Office equipment, computer, and personal electronics
