Administrative Assistant

Job Description

BRIEF SUMMARY

Love In the Name of Christ serves local churches opportunity to meet physical, emotional and spiritual needs of individuals and families in our community. The operational management of Love INC -, including the supervision of volunteers.

ESSENTIAL JOB FUNCTIONS

Office Administration

a. Manage Love INC business, office, and financial operations, under the direction of the Executive Director.

b. Provide Administrative support to Love INC Staff and volunteers as assigned, and serve as receptionist.

c. Track information of donor, volunteer, church, and newsletter recipients in Database and mailing spreadsheets.

d. Maintain filing system.

e. Assist in preparation of meetings and events as assigned.

f. Maintain all office machines.

g. Maintain and update Office Procedure Manual.

h. Monitor Love INC policy and procedures, advising the Executive Director of inconsistencies that arise in management goals. Initiate processes that maintain and modify procedure when necessary.

i. Assist the Executive Director with Board of Directors and Executive Committee preparations.

j. Oversee administrative office staff and volunteers, delegating and assigning tasks as appropriate.

k. Is authorized to purchase equipment and supplies. Maintains an inventory of all Love INC assets.

l. Prepare statistical reports as required for the Directors and others. This includes but is not limited to: bi-monthly newsletter reports, annual reports, church activity reports, quarterly and annual reports to the church and Love INC National etc.

m. Maintain clean lobby, meeting, offices, and kitchen areas so that it is welcoming and projects an atmosphere of being organization, clean, and professional

Financial Operations

a. Maintains financial records for Love INC and assures that income is processed and bills are paid on schedule established by the Treasurer.

1. Process all income: code checks, up-date donor files, write receipts, print deposit records, and report cash flow.

2. Obtain signatures and make payment on bills monthly.

b. Maintain financial records in QuickBooks software. Perform other bookkeeping functions as required by Treasurer.

c. Compile all documents necessary for financial consulting, tax preparations, reviews, and audits.

Program Management

d. Implement Love INC mission through meeting needs of clients through the Transportation Program volunteer drivers

e. Maintain accurate client records and reporting systems. Summarize case and follow-up information in clients' files.

f. Maintain accurate and up-to-date volunteer files.

g. Orient and train all new receptionists to intake client information with compassion and accuracy.

h. Assure strict client confidentiality by restricting and limiting access to case files.

Minimum qualifications

1. The Administrative Assistant will be a Christian who is an active member of a local congregation and must be comfortable praying and working with Christians from varied denominations.

2. Participate with Love In the Name of Christ staff members in activities that promote teamwork, a sense of community, mutual support and reliance on God including daily devotions and joint staff meetings for prayer, discussion and planning.

3. A bachelor's degree in Business / Office Management, Business administration, Accounting / Finance or related field is preferred.

4. Successful candidates should have demonstrated skills in agency management, preferably in a non-profit setting and in volunteer management experience including recruitment, retention and training.

5. Tracking Budget Expenses, Attention to Detail, Thoroughness, Organization, Analyzing Information , Accounting, Vendor Relationships, PC Proficiency, Data Entry Skills, General Math Skills

6. Excellent communication skills demonstrated through writing, speaking and listening are needed as well as the ability to prioritize both day to day and long term needs of the organization.

7. Exceptional interpersonal skills including working as part of a team, respect for others, and a spirit of cooperation.

8. Superb computer skills, to include proficiency in MS Word, Excel and QuickBooks. Must be familiar with social services case management systems.

9. Demonstrate mission-focused spirit of cooperation and flexibility.
