This is a middle management position for the Valdez Convention & Visitors Bureau (VCVB). The Accounts Manager of the VCVB will assist in achieving the mission of the Bureau through implementation of the strategic objectives determined by the Executive Director. The Accounts Manager has the primary responsibility for managing company payroll, accounts payable and receivable, website management, membership development and the Valdez Visitors Guide.

Reporting

The VCVB is a non-profit 501(C)(6), an association of persons having a common business interest, whose purpose is to promote the common business interest and not to engage in a regular business of a kind ordinarily carried on for profit. Its activities are directed to the improvement of business conditions of one or more lines of business rather than the performance of individual persons. As such, the Accounts Manager reports to the Executive Director.

Responsibilities

Completes payroll for company personnel

Processes Payroll and other taxes due

Monitors the status of accounts receivable and payable to facilitate efficient processing

Reviews financial statements and supporting documentation

Processes all incoming and outgoing invoices and payments

Maintains accurate and complete documentation for all financial department procedures

Reconcile the VCVB's credit card and bank accounts

Initiates accounting procedures to improve organization efficiencies

Manages the sales, financial and confidential information of the members of the VCVB

Review the VCVB personnel policies periodically to ensure all staff complies and assist the Executive Director on State and Federal Labor Laws

Designs, implements and manages member information into Excel spreadsheet while maintaining accuracy

Manages all members of the VCVB by collecting and filling paper applications and information, ensuring members information is secure and accurate

Assists in disseminating information about the community and its season tourism offerings to visitors

Attends state travel shows representing the VCVB

Reports results of each show attended to the Executive Director

Answers incoming phone calls and transfer caller to the correct department; record message and relay as appropriate

Assists the Executive Director in creating and updating membership applications and renewal forms

Sells membership and advertisement opportunities to businesses. Collect membership fees during membership season via check, cash or credit card

Assists the Executive Director, Services Manager and supervise Seasonal Staff in the center when necessary

Assist in the design and implementation of social media profiles on Facebook, Instagram, Twitter and Pinterest

Measures all social media activity

Writing and circulating a member newsletter using the VCVB newsletter template and Mail Chimp program- the last Friday of each month. (or nearest working day if falls on a holiday)

Members Leads Program

Manage Members website profiles.

Coordinate jointly with the Executive Director and the VCVB Board Membership Committee in April of each year, the annual review of membership benefit levels and pricing.

Coordinate with the Services Manager the distribution of Membership Sales packets to all current Members via US Mail. Send out email notice. Follow up by phone ensuring Members are receiving the communication mediums.

Coordinate all sales efforts of cooperative advertising opportunities to Members. Including sales of Valdez Vacation Guide Ads, Visitor Information Center Wall Ads, Display Cases, Center TV Ads and brochure/rack card/pop up distribution at shows.

Ensure all Members receive their benefits in accordance to their Membership Level, including cooperative advertising opportunities; social media digital marketing opportunities; rack card/brochure/pop up at all VCVB Consumer Shows.

Ensure the Membership Databases are kept up to date, free of errors, and distribute updated copies to the Services Manager and Executive Director.

Ensure the Members business listing, advertisements are correct prior to handing to the Executive Director for print.

Review Print Directory with Executive Director before it is sent for print.

Requirements:

BA or equivalent + 5 years relevant experience,

Excellent customer service skills,

Must be able to quickly and accurately assess priorities,

Excellent verbal and written skills,

Effective listening and interpersonal skills,

Knowledge of local, state and regional media contacts

Proficient in

o Microsoft Office Suite “ Word, Outlook, Excel, Power Point,

o Quickbooks

o In Design and Photoshop.

Occasional weekend and evening work

Terms of Employment: Permanent, full time

Compensation: Salary range is $35,000 - $55,000, commensurate with the experience and skill level listed on this description. Includes health benefits, paid holidays and accrued vacation time
