Haines 2019 - Cruise ship Office Administration

Job Description

The Haines Office team's main responsibility is to carry out our company mission of providing each guest with a safe, enjoyable and educational wilderness experience. The Haines Cruise ship office administrative team facilitates the operation of our day programs via phone and radio dispatch, scheduling, sales, cruise ship correspondence, dock representation and ensuring that guides complete their jobs and their corresponding paperwork. The Haines cruise ship administrative team also contributes some sales admin and logistical facilitation to our long trip programming.

Seasonal Role: ~April 15 - September 30 - (exact dates are flexible)

Chilkat Guides

Guiding Alaskan rivers since 1978, Chilkat Guides has been a leader in river guiding for over three decades. Hike and float the historic Chilkoot Trail, raft through the Chilkat Bald Eagle Preserve, or experience the culture and history of the Tlingits in their mother village of Klukwan on one of our day trips. Chilkat Guides also offers multi-day rafting adventures on some of North America's most wild and remote rivers.

Haines Specific Employee Information:

Essential Job Functions

• Assisting the Haines Program Manager in running daily operations.

• Creating and executing guide schedules.

• Ensuring guides are on task and on time.

• Dispatching tours via office radio.

• General office phone reception.

• Acting as a dock representative when ships are in port. Dock repping includes taking tickets, ticket accountability, ushering guests to and from key points on the dock, reporting numbers back to the office, clear communication by cell phone and radio, answering questions, etc. During these duties, report to the Haines Dock Rep Coordinator.

• Allocating additional space to ships when sales dictate.

• Promptly responding to all cruise ship emails.

• Departure Allocations -- adjust allocations to maximize sales.

• General Administration support.

• Be trained in and effective at using our database system

• Assist with all admin and prep aspects of our t-shirt sales.

• Must be willing to gain (with support from our company) and Alaska Class B CDL with airbrakes and passenger endorsements.

• Support projects and additional responsibilities as needed.

• Must possess the desire to continually improve his or her knowledge and skills.

• Must at all times be clean, well groomed, courteous, honest, and reliable.

• Must possess a positive attitude that is friendly, considerate, strong, and energetic.

• Must be willing to work as a strong team member who contributes beneficially to group morale.

• The Haines cruise ship administrative team reports to the Haines Program Manager.

Experience Required to Perform Job Requirements

• Prior office and/or tourism experience preferred.

• Must be proficient in Outlook and Microsoft Office products.

• Have a clean driving record and be able to be placed on our company auto insurance.

• Must be able to think nimbly and problem solve quickly and effectively.

• Must possess strong work ethic.
