Office Administration

• Manage daily tenant activity

• Show units

• Keep tenant data base current on computer

• Receive and process payments

• Prepare daily transmittal forms, bank deposits, and reports as required by the Home Office

• Prepare and submit various daily, weekly, monthly, and annual reports as directed by the Home Office

• Keep facilities operational reports, invoices, collection calls

• Provide necessary travel for required bank deposits and other approved company tasks

• Order all necessary supplies (office, maintenance and janitorial) for the use of the property

• Keep computer data current

• Maintain computer back-ups

• Make Lease Packets

• Follow procedures manual

• Perform other business related tasks as directed by Employer

• Answer public inquiries on site and by telephone

• Document calls on the traffic logs

• Rent storage units and sell inventory

• Complete new rental paperwork

• Answer the telephone in a professional and courteous manner, with the objective of closing the sale and properly document calls on the property traffic logs.

• Prepare and fully executes all documents associated with leasing a storage unit.

• Maintain tenant files (letters, invoices, etc.).

• Rent and maintain (or arrange for proper maintenance) of Rental Truck (not all facilities)

Customer Support

• Satisfy and retain customers

• Provide customers with assistance in determining the needed storage unit size by accessing their needs and physically reviewing the available storage size options with them

• Follow delinquent tenant procedures

• Call delinquent tenants

• Check on delinquencies

• Keep accurate paperwork

 Send letters/lien notices in set periods

 Make telephone calls in attempt to collect delinquent rents

 Document all communication (written or verbal) with past due tenants

Maintenance

• Keep the site and office clean, including the following:

 Empty trash

 Pick up papers

 Sweep or wash down driveways as necessary

 Clean vacant spaces and restrooms

 Sweep and mop halls as necessary

 Prepare all vacant units for show

• Conduct or supervise facility repairs and maintenance to assure smooth and continuous operation, including the following:

 Maintain landscaped areas

 Minor unit and building maintenance, i.e. painting, replacing door hasps, etc

 Maintain rodent control as necessary

 Report damage to building, fence, or other parts or areas of the Project to the Employer

Must have reliable transportation and pass background check.
