Position Description: Executive Director

The Sahuarita Food Bank and Community Resource Center

This executive director position will begin as operationally-focused and over three years will develop into a full Executive Director role.

Overall Responsibility: The Executive Director is the chief administrative officer of Sahuarita Food Bank and Community Resource Center (SFB-CRC). The Executive Director works closely with the Board President, reports to the Executive Committee of the Board of Directors and works in concert with board committee chairs. This position has day-to-day responsibility for the organization's consistent achievement of its mission and strategic objectives. Initially, the focus will be on food-related operations, and will expand to include the entire organization, the community resource center and duties as enumerated below.

Compensation: $45,000 plus health benefits for employee, with semi-annual formal evaluations.

Specific Responsibilities: Year One

Staff and volunteer management/relationships

1. Promote active and broad participation by volunteers in all areas of the organization's work. Create a work environment to motivate and retain volunteers.

2. With personnel committee, manage paid staff including recruiting, hiring, evaluating, and discharging.

3. Conduct mandatory civil rights and food safety classes for all volunteers annually and as needed.

4. Provide adequate training for all volunteers and develop cross-training and back-up capacity for key volunteers.

5. Ensure that the SFB-CRC staff and volunteers work in close coordination with The Good Shepherd, respecting our mutual needs.

6. Assist the Board in the orientation of new Board members.

Operational Efficiency and Effectiveness

1. Manage and implement strategic and operational objectives and policies as set forth by the Board.

2. Oversee the design, marketing, promotion, delivery, and quality of programs, products, and services as they relate to the food supply, safety, access, and distribution.

3. Supervise all food programs, including BackPacks, Summit View Pantry, winter produce distribution, and garden at Anamax Park.

4. Schedule and participate in the Operations Team meetings and communicate as needed to set policies and procedures for the effective transportation, storage, and distribution of food.

5. Publicize the activities of the organization, its programs and goals.

6. Ensure that adequate amounts of healthful food are obtained from all food sources and stored properly.

7. Increase food sources as needed.

8. Provide outstanding and health-department-approved client delivery and satisfaction in food services.

9. Assure that the facilities are safe and a clean working environment for employees and volunteers and that equipment is maintained and kept current to process inventory.

10. Schedule, attend and supervise weekly client service periods with volunteer department heads.

Recordkeeping and Compliance

1. Assemble and record weekly and monthly delivery information and client detail, supervise SFB-CRC volunteer office staff for accuracy, and adherence to the standards of the Community Food Bank of Southern Arizona (CFB).

2. Submit monthly information on all SFB-CRC activities to the Board in writing.

3. Comply with Pima County Health Department specifications including sanitation of kitchen, loading areas and refrigeration/freezer units. Obtain Pima County Health Department permits for the kitchen and obtain CFB certification.

4. Attend CFB meetings as requested and required, including those related to TEFAP, Backpacks, Agency and Pantry as the SFB-CRC representative and file written reports with SFB-CRC Board on these meetings.

Planning

1. Anticipate and present to the Board changes necessary to keep the organization vital and successful.

2. Initiate and assist the Board in developing policy recommendations and setting priorities for operations.

Budget and fund development

1. Provide a monthly operations budget update to the Board.

2. Oversee organization and execution of special fund-raising events, with Board fund development committee.

Specific Responsibilities: Year Two--Building on Previous Year's Responsibilities

Operational Efficiency and Effectiveness

1. Build an inviting and effective organizational culture. Align organizational values to be consistent with the SFB-CRC guiding principles and mission.

2. Establish sound working and cooperative relationships with community groups and organizations.

Community Resource Center

1. Expand the programs of the CRC, working together with volunteers and partners.

Budget and Fund Development

1. Work with the Executive Committee to draft a budget for operations and then work together to monitor and control the budget.

2. Work in collaboration with the Development Committee to create and

execute an annual fundraising plan for operations.

3. Actively seek fundraising opportunities to finance operational staff and programs. This includes some grant writing for operations.

4. Manage the implementation of fundraising plans and supervise staff/volunteers responsible for data entry and gift processing.

Specific Responsibilities: Year Three--Building on Previous Years' Responsibilities

Planning

1. Work with the Board meeting chair in planning the agenda and materials for Board meetings.

2. Work with the Executive Committee and the Board in preparing and managing a budget to assure that the SFB-CRC operates within budget guidelines.

3. Work with the Board in creating and defining a vision for the future.

4. Maintain a working knowledge of significant developments and trends in the field and keep the Board informed of these trends.

Advocacy, Community Relations and Communications

1. Represent the program and point of view of the organization to agencies, organizations and the public.

2. Ensure a robust website, periodic newsletter, and annual report that summarize the organization's accomplishments and recognizes its volunteers and donors.

3. Explore and use all platforms of communication for effectively communicating food bank goals, needs, accomplishments and/or impending future changes.

4. Advocate for organization and client needs with political leaders at the local, state and national level. Seek policies and laws to alleviate hunger and food inadequacy in Southern Arizona.

Fund development

1. In collaboration with fund development committee, cultivate and nurture ongoing relationships with major donors and develop a strategy for a large sustained base of annual individual donors.

2. Manage financial campaign development

3. Implement the approved development plan in accordance with ethical fundraising principles.

Transitioning to the new building

1. With the Board, plan for the transition to the new facility.

2. Recognize and manage the impact that change has on staff and volunteers

Required experience/skills

College degree with five years' work experience

People management experience including managing volunteers

Collegial management style

Flexibility and problem-solving skills to deal with the unexpected

Computer skills

Strong written and verbal communications skills

Public relations experience

Ability to lift up to 30 pounds

Spanish language proficiency preferred
