General Responsibilities:

 Directs the project throughout its various phases by continuing and timely communication with the client’s representative and team members.

Accountability:

 Reports to the Project Director who may delegate to the Project Manager all responsibility and authority for each particular project, except for direct liaison with the client and the assumption of professional responsibility for the firm, and relations with agencies having jurisdiction. Professional responsibility for these items remains with the Project Director and cannot be delegated.

Primary Functions:

• Assists during the promotional phase as required

• Assists in the organization of the project providing input to the project director or principal

• Works with all involved disciplines; prepares estimated manpower requirements, schedules, and other pertinent data; participates with project director in preparing fee proposals; conducting fee negotiations, preparing contractual agreements; and is sufficiently familiar with all agreements between firm and client to effectively manage the project in a professional economic manner.

• Ascertains that code checks, zoning status, and all other applicable laws and regulations are acceptable and coordinates with proper regulatory officials.

Technical and Project Responsibilities:

Client Relations:

• Participates with the Project Director in proposal preparation, budgeting, scheduling, and labor projection.

• Administers the contract with the Owner, including but not limited to, obtaining necessary approvals; processing and negotiating contract amendments for changes – subject to the delegation of this responsibility by the Project Director

• Prepares, over their signature, all internal and consultant project correspondence, financial and project status reports, minutes of in-house, agency, and consultants meetings, and inter-office memorandum.

All such correspondence and reports involving the client, particularly administrative reports to the Owner, may be initiated by the Project Manager but shall be reviewed, edited, and issued by the Project Director.

Consultant Relations:

• Participates with the Project Director and Business Director in proposal and contract preparation, selection, interview, negotiation, and consummation of Architect/Engineer Agreements and/or Architect/Consultant Agreements.

• Assists the Business Director in negotiating Consultant fees consistent with establishing budgets.

• Coordinates and directs the activity of all Consultants and Engineering Disciplines.

Production Administration:

• Manages the work of all professional staff, engineers, and other consultants, in cooperation with all department directors, to assure that the firm’s quality control objectives are achieved, that documents are developed in accordance with internal and construction cost budgets and schedules, and consistent with the best standards of production technology and office practice.

• In cooperation with the Principal, arranges for and acts as chairman of a project orientation or “kick-off” meeting will all departmental directors in attendance to plan and determine standards for project design and production.

• In coordination with the Design Director, manages the production of pre-schematic, schematic, and design development documents in accordance with established standards for quality control and the office checklist. Determines the suitability of the documents for development into contract documents.
