Job Description

The Opportunity:
We are looking for an accomplished

Senior

Administrative Assistant to provide day-to-day administrative support to the VP, Sales on the Walmart account, and act as the office manager for the team. This position is based at Mattel’s sales office in Bentonville, AR.

What Your Impact Will Be:

  • Process invoices, expense reports, and related budget activities
  • Manage the Purchase Order process and approvals for the team
  • Create PowerPoint decks, Excel spreadsheets, and other charts/materials
  • Manage calendar for the VP, including scheduling meetings and calls based on changing priorities
  • Phone coverage, booking meeting rooms, supplies management, filing, mail
  • Ongoing project and task management
  • Collaborate constructively with assistants and staff within and outside the North America Commercial team, including C-suite executive assistants
  • Arrange travel including air, hotel, ground transportation
  • Assist team with onboarding of all new hires in the office
  • Observe and help improve administrative practices
  • Act as office manager for the Bentonville office

Liaison with functional partners including IT and Security

Qualifications

What We're Looking For:

  • Ideally at least 2to 5 years administrative assistant experience, including experience supporting multiple executives and/or large team of VP’s/Directors/Managers
  • Must be computer and technology savvy (advanced working knowledge in MS Office Outlook, Word, Excel and Power Point) – and must be comfortable learning new software and troubleshooting MS Office challenges
  • Success working in a fast-paced, high energy professional environment
  • Proactive in managing tasks, projects, and deadlines
  • Anticipate needs of supervisors, and able to professionally handle changing priorities
  • Excellent interpersonal skills and ability to work collaboratively with a broad range of work styles and personalities
  • Capable of working effectively as a member of a team and independently
  • Strong planning and organizational skills
  • Take initiative and ownership of work and pride in work well done
  • Desire and commitment to take on greater levels of responsibility
  • Trustworthy and able to handle confidential and sensitive information
  • Decisive, with a positive attitude

A bachelor’s degree is strongly preferred
