Purpose and Key Results of the Position

The Front Office Assistant will demonstrate outstanding customer service when greeting and assisting guests in the reception and store. The Front Office Assistant is responsible for facilitating operations of Lundbergs primary administrative office, the store, and visitor center.

Essential Functions/Responsibilities

Reception/Store

Greet guests in the reception and store in a friendly and hospitable manner.

Ensure that all visitors are checked in and audit the sign-in sheet in accordance with the Lundberg Family Farms visitor policy; check IDs, issue key cards, hairnets, and safety glasses, as applicable.,

Maintain the point-of-sale system. Reconcile inventory and purchases both monthly and annually.

Daily open and close out cash register sales. Ensure the cash box is securely locked and put away at end of day.

Ensure that the store is stocked with product and merchandise that represents current offerings, meets employee needs, and conforms to the spending budget.

Maintain the store in an organized, clean, beautiful, and professional manner that represents the company in a manner consistent with the brand. This will include setting up and maintaining seasonal displays of product in coordination with the Marketing department.

Administrative

Professionally administer all incoming phone calls and ensure that calls and faxes are redirected accordingly.

Daily obtain mail from the post office and sort into respective mailboxes.

Print and disperse daily meeting room calendars.

Maintain office equipment (BizHubs, mail meter, appliances, etc.) in good working order.

Maintain appropriate inventories of office supplies (paper, toner, etc.) and reconcile billing to user departments.

Work with Facilities Manager and vendors to proactively maintain the overall office facility and address any day-to-day issues.

Maintain day-to-day office systems including stocking the coffee hub, watering office plants, overseeing meeting room functionality, and assuring that shared areas are being kept clean and maintained by users.

Train office occupants in the use of office equipment and systems as well as in the principles of Lean.

Serve as a member of the Harmony Committee to communicate and update office guidelines, as needed.

Visitor Center

Oversee implementation of the Facility Rental Agreement (FRA) and vendor qualification for caterer use of the facility. Schedule internal and community use of facilities as is consistent with the FRA. Train users on use, including commercial kitchen procedures and waste facilities.

Schedule and conduct visitor tours for the general public and review tour policies and needs annually with the Human Resources (HR) Director. Track visitor requests and executed onsite tours and prepare an end-of-year report of facility use (fiscal year).

Safety

Adhere to safety programs in order to provide a safe and clean workplace for fellow employees within all OSHA local, state and federal regulations.

Complete necessary trainings to ensure all Lundberg certifications required for role are maintained as current. Certifications may include, but are not limited to, Injury and Illness Prevention Program (IIPP), Back Safety, Forklift, Arc Flash, Confined Space, etc.

Other

Execute rotational task list items.

At end of day, ensure the breakroom dishwashers are started, coffee pots are cleaned and ready for following day, and all lights are turned off.

Maintain regular attendance in accordance with Lundberg Family Farms Attendance and Punctuality standards.

Perform other assignments from time to time as requested by the Human Resources Director to achieve department and company business goals.

Complete training required for position and maintain applicable certifications.

Knowledge, Skills and Ability

Excellent and professional telephone etiquette, communication, and organizational skills.

Ability to work independently.

Ability to maintain confidentiality and handle sensitive situations with professionalism and tact.

Must be able to multitask.

Professional written and verbal communication, organizational, analytical, and supervisory skills.

Basic mechanical skills and familiarity with required office equipment operation and systems as related to office equipment, furniture, etc.

Intermediate knowledge of Microsoft Office.

Ability to work harmoniously and productively with a range of personality types and skill levels.

Ability to influence without authority. Must have strength of character and be able to enforce policies with consistency.

Qualifications

High school diploma or GED

One-year administrative support experience

Bilingual Spanish

Preferred

Prior experience supporting administrative operations, Lean principles, public speaking, and working with the public.

Work Environment

Work area is in an inside office environment with moderate temperatures and low background noise. While conducting tours, working environment may be in a manufacturing environment with varied temperatures and moderate noise and include exposure to outdoors and manufacturing production areas.

Physical Requirements for Performing Essential Duties

Sitting/Standing/Walking: Approximately 50% of the time is spent sitting at a desk with 45% of the time walking around work area, and 5% in the outdoor campus and manufacturing production areas.

Speaking/Hearing: Ability to effectively communicate with co-workers, supervisor, and the general public.

Vision: Ability to effectively interpret information on a computer screen for extended lengths of time as well as printed materials.

Lifting/Carrying: Ability to lift, carry, and hold up to 20 lbs. Ability to perform repetitive motions.

Stooping/Kneeling: Ability to stoop and/or kneel to access equipment when needed.

Reaching/Handling: Ability to retrieve and work with appropriate equipment and supplies.
