Position: Office Assistant

Salary: Depends on Experience

Employment Type: Full-time

Schedule: Monday thru Friday, 8:00 a.m. to 5:00 p.m.

Job Summary

We are currently seeking a highly energetic, results-driven individual as an Office Manager. The successful candidate will be responsible for maintaining positive business relationships with both clients, contractors and vendors.

Job Requirements

Previous administrative work experience required

Excellent computer and standard office equipment proficiency

Proficiency in MS Office applications, e.g., Word, Excel, Outlook, and QuickBooks

Highly self-motivated, personable, aggressive, energetic, and timely

Ability to work independently with minimal supervision

Expert communication skills, both verbal and written; must have outstanding grammar

Excellent interpersonal skills

Independent-thinker and self-starter who also works well with others

Knowledge, Skills, & Abilities

Ability to work and communicate as a team while also working independently to accomplish individual tasks with little to no supervision

Attention to detail and accuracy

Strong email communication skills

Excellent analytical and business intelligence skills

Ability to critically analyze information

Ability to work in a high-pressured environment where accuracy and deadlines are critical

Ability to interact professionally with coworkers, clients, and management

Strong knowledge and use of grammar, composition, spelling and punctuation in all communication (verbal and written)

Technical aptitude and ability to learn

Timeliness and dependability, with a sense of ownership in responsibilities and duties

Strong keyboarding skills with a minimum speed with accuracy of 50 wpm

Drive, initiative and willingness to work

Willingness to learn in order to be up to date with changes and regulations

Essential Duties & Responsibilities

Answer a multi-line phone system, take messages, and redirect calls as necessary

Participate in the continual improvement of company systems, processes, and procedures

Provide administrative support to the owner of the company

Filing, scanning, and documenting, accounts payable and receivable, payroll, and hiring.

Use data entry skills to edit and enter data

Communicate professionally with customers in person, over the phone and via email

Perform other duties, research and special projects as assigned

Preferred Experience:

At least 1 year of prior administrative experience

Experience with Department of Transportation Regulations and Processes

Experience with DMV processes and forms

Experience with Payroll, verification of time sheets, processing payroll documents

Experience with QuickBooks

Experience with Construction

Experience with Websites/Advertising
