Scheduling and calendaring Gilead’s Talent, Development & Inclusion team (TD&I) is seeking an individual to fill an immediate opening as an Inclusion and Diversity Learning Coordinator. This is a contract role located on Gilead’s Foster City campus but will be remote until January 2021. The ideal candidate is a motivated, high-energy individual that enjoys managing logistics, collecting and analyzing data and knows how to deliver authentic and high-quality customer service, and works well in a team. Any candidate interested in Learning & Development or Human Resources as a career will find this role an excellent entry-level opportunity to learn more about those fields. In addition, the candidate will get exposure to, and may get to support, activities in the fields of Talent Management, Learning & Development and Inclusion & Diversity; offering an opportunity to work with strong professionals in each of those disciplines.
Essential Duties and Job Functions:
Support Instructor-led classroom course delivery and logistics:
• Support the Inclusion and Diversity learning curriculum and activities
• Coordinate course enrollment and scheduling on a long-term and short-term basis
• Manage relationships with client managers at partner course providers; escalate issues when necessary
• Ensure seamless course delivery onsite, including coordination with Facilities and Catering
• Prepare course materials; manage materials inventory; collect and analyze evaluations, set up and clean up classrooms
• Serve as onsite and virtual contact and support for facilitators
• Provide support to other North America and worldwide Gilead locations
• Support vendor partnerships, manage work orders and scheduling with those partners
• Manage requests in the Learning & Development and Inclusion and Diversity Inbox
• Support Inclusion and Diversity courses, including managing the enrollment and logistics for elearnings, anti-racisms courses, allyship, psychological safety, unconscious bias,
• Serve as a Learning Management System (LMS) administrator
• Ensure Learning & Development (L&D) and I&D course schedules and descriptions are up-to-date and accurate
• Generate standard and ad-hoc reports
• Complete training-related transactions including: assign training modules, maintain training completions, test eLearning, and automate notifications
• Support the Associate Director of Learning and Development and Director of Inclusion and Diversity with program analytics
• Support Advancing Black Leadership programming logistics
• Support L&D course marketing efforts as well as internal communications between Learning & Development, HRBPs and other groups
• Participate in the on-going evolution of the Learning & Development operations, inclusion and Diversity Learning curriculum creation, service delivery and process improvement
• Contribute to broader HR projects as needed
• Provide general status updates, knowledge transfer and support to the broader Talent, Development & Inclusion team
Knowledge, Experience and Skills:
•Strong organization and time management skills; able to manage tasks simultaneously
•Strong customer service orientation while maintaining a high level of integrity and confidentially
• Strong Data analytics and project planning skills in excel
•Strong verbal, written, interpersonal, verbal skills and comfortable with the utilization of technology
•Able to interface effectively with many levels of employees, and the ability to effectively manage working relationships with external partners and facilitators
•Able to perform job responsibilities and duties under minimal supervision
•Works well in a team Additional Information:
•An interest in Learning & Development and/or Inclusion and Diversity a plus, but not required
•Experience in training administration, and with a learning management system, a definite plus
•This position requires the ability to move boxes of course materials, up to 20 lbs, from building to building with the use of a hand cart
