Located in the heart of the Redwoods of Northern California, the Benbow Valley is nestled among the hills with the Eel River running through. The most prominent features of this little valley are the Benbow Historic Inn and the Benbow KOA Resort & Golf Course. The Inn is a 65 room historic building with a restaurant and lounge. The Benbow KOA Resort & Golf Course is a 110 site RV park with a 9-hole golf course.

The Benbow KOA Resort and Golf Course is seeking an outstanding Front Desk Supervisor candidate to represent the hotel to the guest throughout all stages of the guest's stay.

OVERVIEW: The Front Desk Supervisor is responsible for directing and coordinating guest service activities at the KOA to obtain optimum efficiency and service levels to maximize full potential. Also responsible for supervising and coordinating activities of the guest service agents engaged in checking in, checking out and providing concierge services. The essential job functions are listed below, but may include duties which are outside of these job functions which are required to meet the need of the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Schedule staff appropriately to handle the needs of guests and staff.

Review daily arrivals and departures “ ensure rate, rate codes and market segments are properly assigned; prepares packages for the days arrivals; ensure departure rates are posted correctly and performs check lists on shift.

Responds to Guest inquiries/needs, resolves guest issues and billing disputes.

Hiring, training and on-going supervision of the Guest Service staff to ensure conformance to policies and procedures.

Supervises guest service staff in completing all required tasks (check-in guests, check out guests, guest assistance needs, taking reservations).

Provide timely, appropriate feedback to staff on performance, both positive and corrective.

Regularly calculates and/or posts monies, receipts, guest accounts and other forms of credit using established cash handling procedures in order to present the customer with accurate hotel charges upon check-out and maintain accurate hotel records.

Organization of No Show billing.

Responsible for the inventory of all retail items and ensuring that new product has been entered into Kampsight correctly.

Facilitates communication between Front Desk staff and management.

Train and implement safety and emergency procedures.

Coordinate with Operations Manager on rates, room blocks, packages and rate manipulation.

Reviews accommodation and site rates 30 days out and compares them to the comp set; make suggestions on changes.

Attend to the upkeep of all equipment and supplies related to the Front Office Department.

Keep abreast of local activities and the areas establishments in order to answer questions, make recommendations and give directions.

Occasionally assists in room cleaning and/or very light maintenance when housekeeping or maintenance staff is unavailable.

Work with Maintenance department to coordinate schedule maintenance of sites or units, communicate issues that need to be addressed according to policy and procedure, and to ensure that desk agents are communicating these issues according to policy and procedure.

Ability to identify strengths and weaknesses in standard operating procedures (SOPs), develop and implement new SOPs, and train staff on updates.

Manages employee housing/long term rental tasks as delegated by KOA manager in a timely and appropriate manner.

Assists in organizing events, following up with event inquiries, and running activities as delegated by KOA manager.

Manages and motivates staff (including: hiring, firing, performance management, and recognition duties).

Assists in hiring in decisions.

Train, direct and appraise staff.

Plans and organizes workload and staff assignments.

Issues written and oral instructions; assigns duties and examines work for exactness, neatness, and conformance to policies and procedures.

EDUCATION, EXPERIENCE, and TRAINING:

High school diploma or general education degree (GED)

One year of supervisory experience required.

Bachelors degree (B.A.) from a four year college or university; and four years related experience and/or training; or equivalent combination of education and experience preferred.

CERTIFICATES, LICENSES, REGISTRATIONS:

There are no specific requirements for this position.

COMPUTER SKILLS:

Basic typing skills and ability to operate standard office equipment including: copier, telefax, telephone, calculator, etc.

Ability to efficiently use a computer and printer for word processing, database management and spreadsheets Microsoft Office - Word, Excel, Power Point and Outlook.

Must possess working knowledge of efficient filing systems and procedures.
