Position Title: Office Manager/Business Administrator

Hours: Full time. M-F

We are NorthPoint Consulting Group, a Northern California professional engineering/consulting firm looking for an Office Manager/Business Administrator to join our growing team in Humboldt!

Are you creative, organized and enjoy collaborating with people? Working under the direction of management staff, the successful candidate will have overall responsibility for daily office functions and be responsible for a variety of management/administrative tasks as well as having a supporting role for other team members. The ideal candidate is self-driven, able to work independently, a “get it done” person who shows initiative and the ability to set priorities and who is excited to work with a growing company!

RESPONSIBILITIES:

Frontline for all client interaction. Reception/in-person and on the phone (multi-line phone system).

Make administrative decisions on behalf of the leadership team based on the business priorities.

Tracking inventory and ordering supplies.

Organizing, alphabetizing, scanning, organizing, and filing a variety of documents.

Scheduling meetings, appointments, social gatherings, team meetings and maintaining company calendar.

Communicating with vendors for things such as copy machine maintenance, postage, supplies, etc.

Using software programs to create fliers, brochures, memos, and other company documents.

Posting to company social media accounts.

Running errands to the bank, post office, supply store, etc.

Acting as an assistant to staff.

Assisting HR and Accounting with miscellaneous administrative duties.

REQUIREMENTS

3+ years of demonstrated office management/business administration.

Must be organized, dependable, resourceful and can multi-task, maintain flexibility, work independently, adapt easily to changes and have a strong work ethic.

Proficiency with Microsoft Office (Word, Excel, and Outlook).

Project management and scheduling experience a plus.

Exercise sound judgement and maintain integrity and professionalism with proven ability managing confidential and/or sensitive information.

Detail oriented.

Ability to work on multiple ongoing projects.

Effective written/verbal communication and organization/analytical skills; experience recording/writing detailed technical data and reports a plus.

Outgoing personality and positivity are a necessity.

Strong writing, grammar and people skills.

Must be legally authorized to work in the US and pass a background check.
