DescriptionEssential Functions:The essential functions of the Administrative Assistant include, but are not limited to, the following duties: Provide administrative support to executive staff, work to understand changes in policies, procedures and regulations

File documents, maintain records and employee training files and conduct independent audits on files

Work independently on projects requiring research and preparation of charts and spreadsheets

Maintain and update databases with accurate information

May work with off-site vendors for occupational physicals and scheduling appointments

Track and follow up on tasks to ensure compliance

Update forms and materials, ensure certification and recurring training has been completed

Reviews corporate and program Training and Certification Procedures for completeness and accuracy.

Posts to the Monthly Training requirements to be satisfied in the coming month along with all expiration identified in the next 30 day period.

Track and initiate Ground Support Equipment licenses and track all renewal/expiration dates by employee.

Tracks and coordinates recurring certification requirements.

Maintains and updates training records of all site personnel using site tracking database and physical training folders.

Other related duties as required or assigned.

Qualifications:High School diploma or equivalent, plus 6 years of proven experience in clerical and administrative duties. Proficient in Microsoft Office and knowledge of office management systems and procedures. Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills.Must have, or have the ability to obtain and maintain a valid state driver's license when required by job assignment.Competencies:Technical capacity.

Communication proficiency.

Supervisory Responsibility:

This position has no supervisory responsibilities.Work Environment:This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Physical Demands:This is largely a sedentary role in an office environment; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal.Position Type and Expected Hours of Work:This is a full-time position. Days and hours of work are Monday through Friday; hours to be set by the Site Manger. Travel: 10%QualificationsEducationRequiredHigh School or better

Knowledge of functions, procedures, and operations of recreation activities. Must have strong customer service skills. Ability to maintain records, compile and organize data for reports. Knowledge of computers, office procedures and print production. Required to have a valid state driver\'s license. Education Must have high school diploma or equivalent.
