Job Description

The

Facility Manager works collaboratively with the Program Director to manage a residential program, by training counseling staff, interviewing potential new hires, and upholding Discovery Culture within their program. He/she enforces program regulations and guidelines, including HIPAA policies and Joint Commission accreditation. The Facility Manager supports in the supervision of staff and oversees scheduling and on-call rotations, long with the Program Director. The Facility Manager oversees the intake process of new clients on the day of admission, and audits client charts regularly to ensure all documentation is being completed throughout the course of treatment, in a timely manner. Oversees and monitors the purchasing of household supplies in accordance with budgets for routine facility care. He/she must have strong organizational skills and leadership experience. Previous experience in the mental health field is highly preferred. A vital component of the duties of the Facility Manager is to liaison with the various departments at the Home Office (i.e. Human Resources, Quality Improvement, Accounting and Operations departments) in the delivery of services to their program.

Responsibilities

  • Assuring the facility is fully stocked, that needed supplies are ordered in advance, and related expenses are managed to ensure that unnecessary spending is not occurring. Provides weekly feedback to the corporate office regarding any facility issues.
  • Responsibility for the upkeep and maintenance of the facility and facility vehicle. Will schedule facility or vehicle maintenance upon obtaining approval from the Program Director and/or corporate office.
  • Performing/assigning safety drills, completing weekly checklists to assure medication administration guidelines are met, and ensuring the facility is compliant with licensing standards.
  • Collecting credit card receipts from all staff that hold Discovery credit cards once per month and submitting to corporate in a timely manner.
  • Overseeing the client intake process, completing related paperwork, reviewing and obtaining signatures on all consents at the time of admission; sending all necessary information to the corporate office; assigning additional duties to counseling staff as necessary. Oversees the client discharge process and assigns duties to counseling staff as necessary.
  • Participating in weekly treatment team meetings, keeping notes and creating the treatment team overview notes for the staff to review.
  • Running groups when necessary; providing oversight of groups being led by counseling staff and lending assistance as needed.
  • Managing client charts, ensuring new charts are opened when necessary, and charts are audited and closed in a timely manner.
  • Responsibility for the hiring of new counseling staff with the assistance of the Program Director; responsibility for the completion of related paperwork and documentation; assisting in the training of these new staff. Participating in and conduct counseling staff performance reviews.
  • Managing counselor schedules to ensure that all shifts are covered and staff are not incurring overtime hours. Oversees timekeeping system to ensure that all timecards are submitted to payroll in a timely manner and reports any error or corrections to payroll as soon as possible.
  • Possessing a complete and working knowledge of Counselor job to be able to help, support, and encourage counseling staff. Will be responsible for covering counselor shifts when needed.
  • Ensuring staff adherence to Infection Control Protocols.
  • Must be available to take on-call shifts. This duty is shared with Program Director and Primary Therapist.
  • Participating in and/or leading bi-monthly staff trainings with direction from the Program Director.
  • To help model good behaviors to residents, the Facility Manager will attend meals in the milieu whenever possible.
  • Serving as a positive role model to staff, clients, employees and guests through a positive, caring, and professional attitude.
  • Familiarizing oneself with the Philosophy, Mission, goals, and objectives of the Discovery Mood & Anxiety Program treatment programs. Complies with all Discovery policies and procedures, and attends all designated meetings.
  • Maintaining the confidential nature of client and program-related activities.
  • May be required to travel to other facilities to attend trainings from time to time.
  • Must demonstrate tact, initiative, resourcefulness, professional manner, enthusiasm, and non-judgmental attitude.
  • Availability to perform requested tasks and accept responsibilities as assigned by the Program Director.

Qualifications

  • Bachelor’s degree (B.A. or B.S.) from a four-year college or university, OR
  • Two years’ experience working within the mental health and/or counseling field in a milieu setting preferred
  • Must attend all training, education, and staff enrichment activities
  • Must possess a current Driver’s License and be in good standing
  • Knowledge of Joint Commission Standards and Intellex
