A Nonprofit Foundation based in the Entertainment Industry is seeking an Executive Assistant to support the CEO and CAO. This is a wonderful opportunity to function as both a strategic partner and scheduling master, taking charge of important administrative and operational tasks to help the firms principals stay organized.
Specific duties include:
Handling extensive calendar management and scheduling, including meeting requests, resolving scheduling conflicts, and updating managers on current appointments
Arranging all aspects of meeting management, such as booking rooms, distributing visitor passes, collating materials, etc.
Scheduling and attending team meetings; taking notes, sending reports
Creating general client correspondence, reports, and presentations as needed
Coordinating international and domestic travel arrangements
Greeting and accommodating guests
Preparing administrative documents including invoices, time sheets, expense reports, and correspondence
Conducting media outreach and providing event scheduling support as needed
Acting as main liaison to NYC office
Qualifications:
8-10+ years of experience in an executive assistant role, preferably in a non-profit or corporate setting
Bachelors degree required
Strong communication, project management, and multitasking skills
Confidence and ability to communicate with individuals at various diverse levels
Proven proficiency in Microsoft Office Suite
Proactive nature with excellent prioritization skills
Ability to work both independently and collaboratively
Superb organizational skills and attention to detail
