We are a leading Tax Consulting Firm looking to hire a go-getter who has tons of energy, thinks on their feet, and enjoys planning and following through with high-level tasks and responsibilities without the need for reminders. A person who is resourceful, can think outside of the box and is not easily ruffled by last minute changes would be a good candidate. Big picture thinker with business acumen, and able to take delegated tasks to the next level.

Must have a minimum of two years experience as Office Manager, Executive Assistant, or similar role to apply.

Your responsibilities will be as follows:

Executive Support (50%)

Organize and coordinate the President’s daily calendar—scheduling all appointments,

coordinating logistics for speaking engagements and handling special event invitations on behalf of the President

Manage and arrange travel for President

Proactively consider needs related to calendar, travel and speaking engagements

Create Daily Office Reports

Write individualized correspondence and other documents as requested by the President

Support the President as needed in preparing for interviews or other meetings, conducting research and other similar tasks

Manage organizational communication, scheduling and logistics for key internal events such as meetings

Assist in answering the organization’s main line and direct calls as needed to staff

Office Management (40%)

Research and implement new marketing strategies in order to grow the business

Serve as the key point of contact for clients and prospects

Execute Payroll, Onboarding, and other HR functions

Run Accounts Receivable and Accounts Payable daily

Communicate and oversee implementation of office operations, policies and procedures

Continually look for ways to evolve and improve operational efficiency of systems and processes impacting staff and office operations

Maintain and update office phone list and other similar systems

Other Support (10%)

Other duties as needed.

Qualifications:

Strong commitment to the mission and goals of the company. Aware of and able to navigate through different types of situations.

A minimum of two years experience in an administrative support role, preferably at the senior level. Experience supporting executives a must have.

Undergraduate degree or equivalent experience is preferred.

A self-starter with a high degree of energy and careful attention to detail. Strong sense of initiative and a process-improvement mindset.

Highly flexible, creative problem solver, with a strong ability to multi-task.

Excellent oral and written communication skills.

Strong interpersonal skills.

Execute and exhibit good judgment. High level of professionalism.

Superb organizational and time-management skills.

Excellent computer skills; proficient or advanced skill in GSuite and experience with data management.

A demonstrated ability to plan effectively, but the flexibility to handle the unexpected.

High desire for growth and promotion within the company, managing priorities and deadlines, and a willingness to take on responsibilities and to prioritize own work on multiple projects.
