Our FAVORITE client, located in downtown Los Angeles, on the Metro line, has an immediate need for an Executive Assistant on a 6-month contract, with the option for extension. Reporting directly to the General Manager, you will manage and execute all administrative tasks required including managing calendars, scheduling meetings, creating, and editing agendas and correspondences.
Training will be onsite in downtown Los Angeles for a few days and once the person is comfortable doing the job, they will work remotely and will be asked to come in once or twice a week for meetings, special project, etc.
Client follows a 9/80 work schedule so every other Friday OFF. Hours start as early as 7:00am.

Job Responsibilities:
  • Maintains appointment calendar for executive manager; schedules/coordinates meetings and appointments. Makes room arrangements; reminds manager of pending meetings and provides pertinent information; makes business travel arrangements and prepares expense reports.
  • Types, edits, and composes a variety of letters, memoranda, reports, charts, tables, legal forms, etc.; prepares agendas; transcribes minutes; composes documents from handwritten or verbal instructions; reviews documents for completeness and accuracy including proper format, grammar, spelling, punctuation, and adherence to policy and procedure; extracts and compiles data and other information for reports; and copies and distributes information.
  • Receives and screens phone calls, visitors, incoming correspondence, documents, and e-mails on behalf of executive manager; prioritizes and routes as appropriate; obtains and/or gives information; answers routine inquiries; and explains or clarifies policies and procedures.
  • Develops, maintains, and manages accurate and organized manual or computerized filing systems; searches, locates, retrieves, and/or tracks files in order to provide requested information; and creates new files and filing system when needed.
  • Examines, verifies, and organizes a variety of records and reports including budget documents, invoices, and regulatory reports.
  • Performs other related job duties as required.

Skills Required:
  • 2+ years of experience in providing administrative support.
  • Proficient in Microsoft Outlook, PowerPoint, Word, Excel and Access.
  • Strong interpersonal skills and the ability to work with multiple levels and managers of organization.
  • Knowledge of standard proofreading practices, procedures and concept is required.
  • Read and evaluate written text for grammatical errors and typographical errors.
  • Ability to multi-task and work with minimal instruction.
