SummaryThe primary purpose of the position is to serve as the administrative expert in matters related to support of the Associate Chief of Staff for Mental Health Service. Responsible for the day-to-day coordination and completion of the administrative functions of the Associate Chief of Staff within the Mental Health Service.ResponsibilitiesThe major duties listed below are not limited to: Modifies and maintains databases that will organize information from the system of records for each of the areas of responsibility. Analyzes information and makes reports for internal program evaluations. Collects, compiles, and/or tracks data and statistical information in support of the organization's program operation. Manages on a daily basis human resources issues associated with the organization. Conducts annual site equipment inventories and is responsible for tracking preventive maintenance and supply inventory control. Receives and screens all incoming correspondence and phone calls. Types and edits manuals and general memoranda, and reviews outgoing correspondence for compliance with regulations and content. Reviews all incoming/outgoing correspondence for grammatical errors. Prepares agenda items and minutes for meetings. Performs office planning and evaluation of administrative programs or issues. Submits and/or coordinates personnel actions, as appropriate, for personnel assigned to Mental Health Programs. Assists in maintaining and monitoring personnel-related records, such as performance ratings, awards, licensure, certifications and trainings. Assists management in providing recruiting activity information, referral of job candidates, the selection process, and notification of applicants for interview. Arranges and coordinates training activities. Manages office supply functions by initiating local purchases, sole source procurement, and GSA catalog purchases. Provides automated data processing clinical application advisement and support. Aids in developing statistical data and special reports, compiling and preparing drafts and finalizing technical papers and/or similar instructional materials in support of the organization and its Mental Health programs. Work Schedule: Intermittent - As neededPosition Description Title/PD#: Program Support Assistant (OA)/PD01062-APhysical Requirements: The work is primarily sedentary. The PSA may sit comfortably to do the work. Some walking, standing, bending, carrying light items and occasional errand runs are required. Travel may be required to other NCHCS sites as needed. There are no unusual physical demands.RequirementsConditions of EmploymentQualificationsTo qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-07 grade level: One year of specialized experience (equivalent to the GS-06 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: skilled in the use of software applications; knowledge in personal computers, a variety of databases, Windows platforms, high capacity-copying machines, fax, and multi-line phone systems; ability to type proficiently; skill in oral and written communication; knowledge of supply ordering requirements and systems; ability to analyze problems, formulate alternative solutions, and present findings in a group setting; skill in the collection, compilation, and/or tracking of data and statistical information; knowledge in human resources processes; knowledge in purchasing and procurement. There is no educational substitution for the GS-07 level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
