Job Description
An energetic, organized, personable team-member that will oversee all of the support to our site which is projecting significant growth in 2019 and 2020! Our LASAR Office Manager will essentially ensure the smooth running of an office on a day-to-day basis and will liaise with other administrative and functional staff.
Responsibilities
The Office Manager maintains office efficiently by implementing and maintaining processes, procedures and tools for a wide range of functions:
Duties include:
Responsible for accounts receivable and accounts payable functions
Ensuring time cards are processed and recorded
Administering payroll
HR functions; benefits, insurance, 401(k)
Liaising with LASAR staff, vendors, and customers
Answer company phone, direct calls to appropriate parties, and take messages
Ensure that office runs smoothly and is organized, presentable, and functional for the needs of employees, customers, and other visitors
Ensuring mail is checked, processed and routed
Maintaining office supplies
Maintaining compliance, training and FAA correspondence files
Assisting in the preparation of FAA correspondence
Recording Supplemental Type Certificate issuing
Assisting with weekly, monthly, quarterly, and yearly financial reports
Providing expenditure forecasts for the awareness of cash flow needs for received materials
Issuing and maintaining Batch Control Numbers for received materials
Assisting with production of advertising brochures, advertisements and special promotions
Coordinating repairs of phone, communication, computer and office equipment
Providing training for office personnel and other Repair Station personnel as assigned
Conducting office equipment, computer and system training
Coordinating building maintenance requests
Organizing the shop and scheduling the workorders
Attending meetings with senior management
Note taking and preparation of letters, reports and developing team-wide and executive communications
Coordinate meeting scheduling, including on-site interviews, if needed
Plan company events (including travel)
Handling various administrative tasks in a timely and accurate fashion
Assisting other functional staff as necessary
Maintain conference rooms and ensure equipment is in working order
Other tasks assigned by senior management
The Office Manager will leverage LASAR policy and process in order to help gain efficiency and takes initiative and uses problem solving techniques to resolve issues that arise. The office manager must be very organized, with the ability to balance priorities and tasks. Maintains professionalism in written and spoken communication to internal team members, stakeholders and clients.
Qualification & Experience
Prior strong experience with Microsoft Office.
Ability to manage priorities and meet deadlines in a dynamic environment
Strong verbal and written communication skills
Fast and accurate data entry and typing ability, numerical aptitude
Bachelors degree is preferred
Proven experience as office manager or in a similar role would be ideal
Attention to detail and high level of dependability.
Strong team player with excellent people skills.
Energetic individual with a proactive customer-service attitude
Has past experience in a similar role with a passion for process improvement and running the activities of a growing office.
Can work with cross functional teams in a culturally diverse environment.
Is highly motivated, organized and with a high attention to detail
Demonstrates the ability to apply practical solutions to non-routine problems
Collaborates with colleagues across functional departments
Working knowledge of office equipment (e.g. video conferences)
Reliable with patience and professionalism
Conscientious & determined to follow up / follow through on assignments to completion
Excellent time management and ability to organize, prioritize and multitask without confusion.
Quick learner (will be guided for understanding the database and other paperwork)
Ability to work quickly in an organized manner to be able to keep updated accounting records due to high volume of paperwork
Excellent interpersonal skills, positive attitude and a team player
Confidentiality, respect, tact, sensitivity, and professionalism will be essential as the job will place you in contact with owners, managers, employees, clients, and vendors
Pay range is $18-$22 based on experience
