The Mendocino Coast Writers’ Conference (MCWC) is a 501(c)3 nonprofit arts organization dedicated to providing writers at all levels with expertise, encouragement, and opportunity. Our Board of Directors, Executive Director, and Operations Manager work collaboratively to plan and execute an annual writing conference that attracts over 100 writers, editors, and creative people to the Fort Bragg/Mendocino area each summer. In addition to our annual conference, MCWC offers seminars throughout the year and publishes a literary journal, the Noyo River Review. This position is largely remote, but includes some in-person work and attendance at monthly Board meetings (currently held via Zoom). Candidates must be located on the Mendocino Coast.
MCWC is seeking an Operations Manager based on the Mendocino Coast (Fort Bragg/Mendocino area) to join our diverse, convivial, and inclusive team. Operations Manager
Reports to: Executive Director
Status: Part-Time, Exempt
Pay: $20/hour for 15 hours/week
Start Date: July 1, 2021
PURPOSE OF THE JOB
Manage conference and seminar registration and provide administrative and program assistance to the Executive Director and Board of Directors.
PRINCIPAL RESPONSIBILITIES
Work closely with Executive Director, Board, and contractors on conference design, management, and execution. Attend all Board meetings and some conference subcommittee meetings, as needed. Initiate collaborative projects according to a year-long program manual.
Record incoming registration payments and ensure conference services are rendered as ordered. Assign payments to contractors accordingly. Communicate financial administration to treasurer and accountant as needed.
Manage MCWC social media accounts, website, blog, newsletter, and annual conference program.
Support Board members in managing communications through media relations, etc.
Keep all members of the team up-to-date with relevant project information
Support planning and coordination of the conference program and its activities.
Ensure paperwork is prepared and materials ordered as needed.
Help build positive relations within the team and external parties.
Communicate with team members to ensure maximum efficiency.
Schedule and organize meetings/events and maintain agendas as needed.
Create presentations, summaries and helping materials to ensure better communication and company-wide understanding of the program.
Keep updated records and create reports or proposals.
Ensure technology is available and used correctly for all operations (video conferencing, presentations etc).
Ensure implementation of policies and practices.
OTHER DUTIES AS REQUIRED
EDUCATION, EXPERIENCE AND BACKGROUND
AA with relevant experience, BA/BS preferred
Advanced computer proficiency, including technical expertise with Zoom, Microsoft Suite (Word, Excel, Outlook, PowerPoint), Google Drive, and online database platforms (such as customer relations management, e-mail management, or grant management programs), and the ability to operate standard office equipment
Advanced proficiency with social media platforms (Facebook, Instagram, Twitter), social media scheduling platforms such as Buffer, and with Canva or similar graphic design software
Ability to relate well to people from a variety of ages, economic and social backgrounds and maintain productive connections between the Mendocino Coast Writers’ Conference and its constituencies (donors, grantees, volunteers, board members, staff, contractors, students, public, etc.)
Strong organizational skills and attention to detail, the ability to work independently and as part of a team, and the flexibility to carry out multiple assignments and adjust accordingly
Independent and self-directed with the ability to work collaboratively and creatively as a member of a team
Highly developed speaking and writing skills
Ability to refer to a year-long program manual calendar and initiate independent and collaborative projects accordingly.
