Job Overview:The Facility Supervisor is an active supporter of the community vision and philosophies and FirstService Residential’s commitment to client, staff, and community. This position directly supports and reports to the General Manager and oversees, among other tasks, maintenance of the amenities and common areas and scheduling, processing, and recording. This is a working supervisory position tasked with the work order system, overseeing vendors, recording of data and reports, and responding to customer carematters.Compensation: $25-30/hourFirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.Your Responsibilities: Include the following. Other duties may be assigned.Work closely with the General Manager and the Board of Directors to plan and implement the strategicplan, goals, and objectives. Manage all agreements/contracts to ensure all are executed and implemented appropriately. Responsible to ensure all vendors are compliant and maintenance and the expected service is beingprovided. Responsible for all billing and invoice processing in accordance with FirstService Residential. Assist in the implementation of the stated priority goals/issues and business plans of the client. Assist in managing all agreements to ensure that they are executed and implemented appropriatelybetween all organizations and that the financial obligations are accurately recorded. Take initiative to act without need for prompting. Recognize and address maintenance standards andproblems quickly and decisively. Responds to emergencies; coordinates activities with other responders; directs the work of staff andutilization of resources to affect repair and ensure the safety of the community. Ensure adherence to association policies and procedures, and compliance with corporate, civil code, andstate and federal obligations. Has direct reporting responsibility for the janitorial/maintenance staff, including directing work,managing performance, and taking appropriate disciplinary action, if necessary. Responsible for scheduling and documenting maintenance procedures for all facilities. Maintaininventory each day, including additional equipment needed for specific jobs or tasks. Responsible for the approval of time sheets and requests for time off and vacation for staff. Will planand schedule for adequate coverage. Works with the GM and is responsible for the training, counseling and professional advancement of staffunder your responsibility (Org Chart). In the General Manager absence, ensure all board documents and packets are prepared in accordancewith governing documents and Civil Code, posted and delivered properly. Be courteous and pleasant to residents, Board and committee members, vendors, and co-workers at alltimes. Perform related duties and responsibilities as required. Oversight responsibility to ensure Board Minutes are completed accurately and filed per the Civil Code. Oversee subcontractors’ adherence to scope of work and specifications and that work is completed inaccordance with client standards and contracts etc. Provide written and oral reports as requested. To include request for proposals, bid summaries andreports. This is an essential part of this position. Assess and monitor community needs: identify opportunities for improving service and the condition ofcommon area amenities. Actively manage customer and staff problems and issues, making appropriate decisions consistent withcompany policies, procedures, and practice. Recommend, develop, and roll-out any programs or initiatives which would increase operationaleffectiveness, efficiency, and cost reduction Meeting frequently with the General Manager. Assist the General Manager in providing leadership at each meeting in terms of agenda support, writtenand oral reports as requested on designated items, and summarize the priorities of each meeting as itrelates to the community. Maintain awareness of homeowners’ community desires. Newsletter design, editor and coordination; membership roster and records oversight. Association website development and management. Supports and assist in hiring, training and supervising all direct or indirect staff in accordance toFirstService Residential policies. Assess and monitor community needs: identify opportunities for improving service delivery methodsand procedures and developing new programs. Actively manage customer and staff problems and issues, making appropriate decisions consistent withcompany policies, procedures and practice. Recommend, develop and roll-out any programs or initiatives which would increase operationaleffectiveness, efficiency and cost reduction. Attend and participate in professional group meetings. Stay abreast of new trends and innovations infields of community management and community programming. Schedule and attend staff touch base and staff function meetings. Assist in annual budget preparation and ensure adherence to association budget. Participate in reviewing association policies on an ongoing basis to ensure compliance with civil code,declaration and other requirements of governing institutions. Attend all company mandatory functions. Will act on behalf of the General Manager in his/her absence. Comply with company policies and procedures. Develop, coordinate, and implement customized intimate and large-scale community events toensure intergenerational and neighbor to neighbor interactions creating a unique lifestyle for theresidents. Ensure accurate documentation for community events and recreational program plans, vendorcontacts, budgets, event summary reports, etc., as required. Ensure approved vendors are compliant with insurance requirements and provide oversight of allvendors for events and programs to include review of all vendor invoices prior to payment. Monitor and oversee the master community event and activities calendar as needed and ensureaccuracy for posting on the community monitors and website. Monitor monthly expenditures of all community events, activities, recreational programs, etc. toensure management of expenses, accurate coding, and compliance to budget limits.Skills & Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Has a minimum of 3-5 years of successful management experience (Preferably homeownerAssociation(s). Displays strong written skills so as to be able to publish appropriate documentation as directed tocreate the legacy for the association; particularly in the area of administration. Be well spoken so as to instill confidence in the residents that reside within the community as well asthe public that may interact through designated programs and issues. Displays a community posture that well represents the vision of association. Understands the bidding (RFP) process and maintenance practices.Physical Requirements and Working Environment:The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. Talking & hearing occur continuously in communicating with guests, supervisors, and other associates. Must be literate and articulate in written form in order to prepare correspondence. Must be able to handle multiple tasks, pressure, and deadlines. Schedule and operating hours may bealtered to meet client demands and are subject to change. May be required to work overtime as neededand approved by supervisor. There may also be occasions when it will be necessary to work variousholidays and/or weekends.Supervisory Responsibility:

Direct responsibility for janitorial/maintenance staff, including hiring, firing, and performance management.
