Gateway Center of Monterey County is currently hiring for a full time Administrative Assistant in our Intermediate Care Facility. Come work with the Best Non-Profit of Monterey County and be a part of our dedicated team of professionals!

Gateway Center offers support services for adults with developmental disabilities and the Administrative Assistant will work in our ICF II residential program which is home to 15 adults with developmental disabilities. The Admin Asst. works closely with the program Administrator along with the team of Direct Support Professionals.

General Administrative Support:

•Maintain program inventory/shop or request needed items from appropriate Gateway staff

•Track/maintain/submit TARS on an annual basis or for new consumers as needed

•Submit and track ICF bills to Health plan on a monthly basis

•Maintain all attendance records

•Audit Client binders

•Audit Day Program Data Collection

•Update face sheets, and other requirements of consumer charts

•Manage and maintain monthly data sheets

•Assist RN and client care coordinator to follow up with labs or other medical appointments as needed.

•Assist with kitchen and food inventory

•Participate in new hire interviews with QIDP

•Establish and maintain personnel files for new employees

•Track and schedule annual physicals, tb tests and CPR/First Aid attendance for all staff

•Update emergency staff lists

•In coordination with QIDP/ Administrator, schedule/monitor time off requests.

•Share on-call responsibilities with department team

•Filing

Participate as a member of the interdisciplinary team and is responsible for:

•Attend and participate in ID Team meetings.

•Maintain a thorough understanding of the program needs and intent.

•Observe staff providing active treatment (both announced and unannounced)

•Record staff observations and report problems to the Administrator.

•Serve as resident advocate

Bookkeeping/financial Support:

•Maintain and balance petty cash for program expenses

•In conjunction with Gateway accounting staff, maintain and balance consumer P and I accounts.

•Shared Payroll responsibility with QIDP

Life/Safety and Facility Support:

•Maintain and conduct all required fire and other emergency drills, maintain fire extinguishers, go bags and

flammable materials log, emergency supplies, etc.

•Maintain all other life safety code documentation

•Monitor the physical facility and coordinate all repairs with maintenance staff

•Conduct all required life safety checks, including water temperature checks, physical plant checks, liaison with

alarm company for required checks and maintenance

•All other duties as assigned by the Administrator

REQUIRMENTS:

•Valid Ca. driver’s license and clean driving record

•Fingerprint clearance through the Department of Justice.

•High School Diploma required, AA degree preferred

•Basic knowledge of developmental disabilities, quality program services, administrative and budgeting practices

and applicable Federal and State Regulations.

•Must have the ability to establish and maintain effective working relationships with individuals supported, their

families, the QIDP/Administrator, RN, DSP, Consultants and governmental agencies. The ability to develop

positive community supports.

Schedule:

Monday-Friday 9:30am-6:00pm

On-Call rotation requirement
