El Rio Mobile Home Park Cooperative is looking for an experienced minute-taker to support its board and committees. This is ideal for a person with a flexible schedule who wants to work minimum hours.

The Board & Committee Clerk is responsible for providing administrative support to the Board and to three of the Standing Committees of El Rio Mobile Home Cooperative – Membership, Parking, and Architectural Review.

Duties include

• Take minutes at monthly Board and Architectural Review Committee (ARC) meetings (each meets once per month.) Take minutes for the Parking Committee (meets as needed.)

• Lend administrative support to the Membership Committee as needed.

• Distribute draft minutes to Board & committees; update with edits/feedback received; prepare final version for inclusion in the Board packet.

• Provide copies of draft board and draft or approved committee minutes to the property manager for posting. Alternately, may be asked to post minutes in designated locations.

• File approved committee minutes in their respective binders.

• Obtain the Board Secretary’s signature on approved Board minutes and file in Minutes binder.

• Ensure that there are both digital and hard copies of all documents – minutes, correspondence, and other materials. Ensure digital versions are promptly uploaded to the El Rio computer, and hard copies are appropriately filed. Some items may be referred to the Property Manager to file in individual Member files. Will have access to El Rio computer, copier & office supplies.

• Coordinate with committee chairs regarding any additional help they may need e.g. agenda preparation & posting; send reminders of upcoming meetings to committee members; provide upcoming meeting dates to Property Manager for inclusion on El Rio calendar. May need to coordinate communications and tasks between committees e.g. the new member applications involve Membership, ARC and Parking committees.

• May prepare correspondence from committees to Members and/or the Board as directed by the committees.

• Provides follow-up correspondence to new Members regarding any missing paperwork needed in order to issue the Membership Certificate.

• Assists the ARC at monthly meetings by helping the committee keep track of unfinished business. May pull and/or file materials in the Space binder as requested.

• Work with committees as requested to formulate policies and procedures. Provide administrative support to get these into written form and submitted to the Board.

Qualifications

• Experience taking minutes. Ability to track topics, decisions, follow-up items etc. during the course of a meeting and record accurately.

• Ability to communicate effectively and professionally both verbally and in writing. Is a proactive communicator.

• Strong organizational skills. Ability to keep track of tasks, follow-up items, deadlines, etc.

• Should have own access to computer, word processing software, and email.

• Ability to maintain strict confidentiality & impartiality. May not become personally involved in Co-op issues or situations that come before the Board or committees.

• Ability to work effectively with volunteer committees. Good people skills.

• Good references which attest to the skill set the job requires.

• If interviewed, you will be asked to supply examples of your writing.

Terms of Employment

• This is a contract position. Hourly rate to be determined.

• Approximately 12-15 hours monthly. Hours will vary according to meeting schedules & needs.

• Reports to the Board of Directors of El Rio Mobile Home Park Cooperative.
