SUMMARY: Complete receptionist duties and responsibilities to support management of Go Kids. Support the Family Service Workers (FSW), Family Child Care Home (FCCH) staff and Integrated Services Collaborative (ISC) staff at Go Kids Salinas office. Ensures that overall front office is smooth, efficient, and orderly in accordance with established quality standards, teamwork, client service standards and work procedures set by Go Kids.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following as well as other duties and responsibilities that may be assigned.

I. RECEPTIONIST/CLERICAL

• Professionally answer phones, take messages, give appropriate message and/or route to the correct individual.

• Welcomes visitors, employees and clients doing business with Go Kids, Inc. at the front office area, and route to the correct individual.

• Identify those calls requiring detailed information and transfer to the appropriate individual for follow through.

• Ensures knowledge of all Go Kids programs located on-site to provide caller/ walk-in client with appropriate information or connect with appropriate staff person.

• Manage mail system. Open, sort and route mail daily.

• Provide support to staff at Salinas office.

• Receive, and route all childcare inquiry calls to appropriate child wait list/center.

• Provide administrative assistance and perform data processing such as translation of documents, typing letters, memoranda’s, and other materials from rough draft, duplicated copies or notes for Program staff.

• Provide interpretation for appeals or other scheduled meetings.

• Perform light housekeeping chores in the main lobby, including disinfecting toys, as needed.

• Conduct self in a manner that reflects credit on Go Kids and encourages others to do the same

• Attend staff meetings as requested.

• Receive deliveries/packages from online orders; collect packing slip and make sure all items included.

• Maintain Office Birthday Calendar

• Update outreach materials and make sure parent resources in lobbies are updated

II. FAMILY SERVICE WORKER/FAMILY CHILD CARE HOME SUPPORT

• Receive an appropriately route incoming documents

• Send reminder letters to families and/or providers, as needed

• Support FSW and FCCH staff in scheduling of appointments

• Safeguard confidentiality of records and reports.

• Provide translation/interpretation, as needed

• Other duties as assigned

SKILLS AND ABILITIES:

• Must be well-organized, creative, independent and self-motivated, enthusiastic, dependable, detail oriented, flexible in scheduling and prioritization, and driven by excellence.

• Must possess excellent telephone communication skills and strong interpersonal skills to establish and maintain effective business relationships; demonstrated ability to communicate in situations requiring tact and poise; Skilled in confidentiality and discretion.

• Must be able to adjust tasks and focus with composure, in accordance with changing deadlines and priorities.

• Must be able to complete tasks and meet deadlines

• Must present a neat, professional appearance.

• Working knowledge of childcare, a plus.

• Must be computer literate, with a working knowledge of efficient filing systems, office machines and equipment.

• Requires a good sense of humor and belief in working as a professional, cohesive team member.

• Establishes and maintains effective channels of communication and a professional relationship with management, co-workers, and clients.

• Uses equipment and materials in a safe and acceptable manner, follows established safety procedures, uses appropriate safeguards and observes common sense rules of safety in all on-the-job activities.

EDUCATION and/or EXPERIENCE:

• High school diploma or general education degree (GED). Some college credits preferred.

• One to three (1-3) years related experience and/or training or equivalent combination of education and experience.

• Computer literacy on PC in word processing and spreadsheets Windows 8, and related Microsoft Office products. Ability to type 45 wpm.

LANGUAGE SKILLS:

• Ability to read, analyze and interpret general business periodicals and government regulations.

• Ability to write reports, business correspondence, and procedures with conformance to the prescribed style and format.

• Ability to effectively present information and respond to questions from government entities.

• Ability to comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Possesses good people and phone skills and is detail oriented.

• Must be bilingual/bi-literate in English/Spanish

MATHEMATICAL SKILLS:

• Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.

REASONING ABILITY:

• Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

• Ability to deal with problems involving a few concrete variables in standardized situations.

• Work Environment: While performing the duties of this job, the employee sometimes works near moving mechanical parts and is occasionally exposed to the risk of electric shock. Noise level in the work environment is usually low to moderate.
