Job Title: Administrative Assistant

Reports to: President & CEO

Status: Part time, Non-exempt

California Agricultural Leadership Foundation (CALF) is a 501(c)(3) non-profit organization with a vision to develop leaders united to strengthen California agriculture and sustainably supply the world. We are committed to leadership training and transformational learning experiences in partnership with four California universities: Cal Poly, San Luis Obispo; Cal Poly, Pomona; California State University, Fresno; and the University of California, Davis. CALF supports the longest continuously operating leadership training experience of its kind in the United States which is widely considered to be the premier program, in its niche, in the world.

The Administrative Assistant provides office support to the foundation’s staff team and is vital for the efficient running of its business. Duties range from communications, organizing activities and events, word and information processing, presentation development, filing and other projects and administrative tasks.

Key Responsibilities:

Managing incoming calls and inquiries; taking messages and forwarding calls as needed.

Managing all emailed inquiries.

Board and other committee meeting preparation, working with appropriate team members, plus taking minutes as needed.

Booking conference facilities and other travel and meeting needs, including select internal and external events such as board meetings, alumni events, program seminars and more.

Data entry and filing.

General office management including ordering supplies.

Experience and Skills:

Advanced Microsoft Office (Word, Outlook, PowerPoint and Excel) skills, with an ability to become familiar with company-specific programs and software.

Strong organizational, task management and problem-solving skills.

Punctual self-starter with strong attention to detail and excellent interpersonal skills.

Able to identify opportunities and meet deadlines.

Able to connect with and develop and maintain good rapport with staff team, board, alumni, program fellows and ag industry partners.

Values teamwork, is collaborative and adaptable.

Education and Position Expectations:

Five years of experience in a similar role or equivalent combination of education and experience; college degree, work history in agriculture or non-profit business sectors a plus.

While performing the duties of this job, the employee may be required to climb, push, pull and occasionally lift and/or move equipment up to 25 pounds.

Expected to perform full range of duties as assigned.

CALF’s offices are located in Monterey, CA and this position is expected to work at the main office.

Schedule can be flexible to match employee needs.

Compensation: Commiserate with experience.
