Melissa Data is seeking an experienced Administrative/HR Assistant.
This position reports directly to the HR Director, but also gives occasional support to the CEO, CFO and accounting department.
With responsibilities as Receptionist and assistant to HR management, this role is varied with opportunities for growth.
Job Duties:
Answering phones and directing calls to the appropriate staff members
Greet our incoming vendors or clients
Managing incoming mail and faxes
Maintain calendar for conference room schedule
Scheduling appointments, job applicant interviews and managing incoming applications and resumes.
Performing related duties and responsibilities as required by the HR Director including management of personnel files, payroll data and payroll assistance
Create excel reports such as year to date accumulators, benefit cost, payroll data, commissions, etc.
Maintain org chart and birthday/anniversary lists
Assist with updating employee handbook, compliance policies and research, and employee acknowledgments
Filing, photocopying, collating, faxing, preparing mail, preparing documents and other forms
Collect all documents required from new hires, complete checklists for terminated employees
Performing related duties and responsibilities as requested by accounting, and other management personnel including accounts payable, fraud prevention, applying payments, compiling reports
Update employee records (promotions, title or dept. changes, personal information such as address, etc)
Member of the recreation committee, optional
Qualifications & Skills:
Administrative/Receptionist experience required (2 years minimum)
Familiar with payroll tasks and benefit plans
Able to demonstrate complete discretion of employees' compensation and benefits
Excellent time management and organizational skills
Ability to work with minimal supervision
Intermediate Level (or higher) knowledge of Microsoft Office (Excel, Word, Outlook). Must have a MINIMUM of 1 year of regular use of Excel formulas and manipulating worksheets.
Excellent written and verbal communication skills
Possess and project a positive attitude, work well in a team
Ability to multitask
Must keep personal phone use to a minimum during work hours
