Childs Play is seeking a highly organized and proactive Construction Project Assistant to join our team. This individual will provide critical administrative and logistical support for ongoing construction projects and will play a key role in ensuring smooth communication and coordination between the office, field personnel, subcontractors, vendors and clients.
The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to anticipate and respond to project needs in a fast-paced environment. This role involves maintaining accurate documentation, overseeing material and equipment logistics, and supporting both the Operations Manager and executive leadership in project execution.
Key Responsibilities:
Support staff in coordinating and tracking daily project activities
Maintain and organize project documentation, including contracts, RFIs, submittals, change orders, and compliance records
Schedule inspections, job site visits, and internal/external meetings
Liaise with subcontractors, vendors, and clients to ensure adherence to project timelines and deliverables
Assist with the preparation and distribution of meeting minutes, project reports, and other correspondence
Monitor project schedules to ensure compliance with deadlines
Assist with permit applications and agency coordination
Track material orders and delivery schedules
Support job cost tracking and invoice review
Assist with bid preparation and submittal processes
Job Duties
The job responsibilities include, but are not limited to, the following:
Provide administrative support for all construction projects
Review and verify job folders for accuracy and completeness
Maintain active communication with Crew Leaders and field staff
Communicate directly with customers, vendors, and subcontractors
Generate and maintain submittal logs and Dig Alert notifications
Anticipate project requirements and resource needs
Coordinate upcoming orders and purchases with Operations Manager and CEO
Monitor and manage vehicle organization and field appearance
Assist with generating and maintaining project folders, submittals, schedules, contract compliance, and daily logs
Ensure accurate and timely recordkeeping for all project logs
Maintain Exaktime project data and appropriate class codes
Track equipment rentals and maintain equipment rental logs
Maintain delivery schedules and logs
Coordinate rental equipment and materials orders
Research and evaluate specialty or project-specific materials
Evaluate and track all field and office expenditures
Perform administrative support functions including phone coverage, filing, and basic office upkeep
Qualifications:
1–2 years of experience in construction administration or project coordination (preferred)
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with construction management software (e.g., Procore, PlanGrid, Buildbook) is a plus
Strong written and verbal communication skills
Ability to read and understand construction documents and plans is required
Strong organizational and time management skills
Bilingual in English and Spanish is a plus
Physical Requirements
Mobility: Frequent movement between office, field, and warehouse locations
Lifting: Occasionally lift and carry up to 25 pounds (e.g., binders, small tools, or samples)
Manual Dexterity: Operate standard office equipment and tools
Vision and Hearing: Ability to read plans and hear clearly in high-noise construction environments

Hourly Pay Range: $18.00/hr to $21.00/hr
