JOB DESCRIPTION
ADMINISTRATIVE ASSISTANT/AP DATA ENTRY
Summary: This part time position with flexible hours will support the administrative functions of the office performing general clerical, receptionist and accounting data entry functions.
Specific Job Duties:
Answer Telephone Calls
Daily Mail Distribution
Travel Reservations
Filing - AP & Contracts
Create Client files
Create Contract files and Jobs
Create monthly closed contract list & envelopes for thank you letters
Monthly Email Quality Audit Letter to customers
Sort & Mail AP checks
Data Entry/Reports:
Enter and code AP invoices
Enter PO invoices
Create Work Orders from customer calls (back up dispatcher)
Assist invoicing of work orders inputting technicians notes
Run Payables reports on the 1st, 10th & 20th
Mail AP Checks
Other projects and assistance as needed to support the Administrative Team
This position reports to Contracts Administrator
Hours: 20-30 hours weekly Office hours: M-F 8-5pm
