Summary: Administrative support to 2 3 Project Managers. Office is remotely located in field with construction employees. Provides variety of administrative and clerical tasks. Deals with a diverse group of employees, external callers and visitors. Independent judgment is required to plan, prioritize and organize diversified workload.
Classification: Full-Time. Non-Exempt Hourly.
Job requires applicant to be on-site 12 hours a day, 6 days a week with Sunday work as needed. 70-80 hours a week
Essential Job Functions
Project Manager support; including information flow between office, field, vendors and subcontractors
Primary field point of contact for daily time entry and tracking of Labor, Material, and Equipment (LM&Es) entries
Validate daily timesheets for accuracy and include appropriate approvals and signatures
Organize, scan and submit daily LM&E sheets to Pro Energys billing department
Assist coordination of job start and job close in conjunction with Coordinators and Project Managers
Enter DigAlert tickets and track expirations
Compile job packages and validate job package data is complete and ready for construction
Maintain and update job files, controlled forms/logs at the direction of Project Managers
Complete job closeout packages, validated deliverables, scan required docs, and submit to customer
Other Functions
Phones, copying, faxing, and scanning
Proposals, bid presentations, pre-qualifications, and change orders
Possible submittals, RFIs and RFQs. WO Processing
Ordering drawings. Panel schedules
Minimum Qualifications
Education: High school diploma or equivalent. Some college preferred.
Experience: 2-3 years experience in a support role. Construction industry experience highly desired. MS Word and Excel (comfortable with basic Word documents and formulas). Excellent communication, writing and organizational skills. Critical reasoning. Good work ethics with flexibility.
