If so, this opportunity is right for you!The experienced Executive Administrative Assistant will be an integral part of the President’s Office and will apply knowledge and an experienced background to the development of the organization.This position will provide administrative support to the VP of Student Affairs/University Registrar and various other assigned executive(s).The Executive Administrative Assistant will have regular interaction with the departments for Ashford Universities and its subsidiaries and provide executive level administrative support to the executive(s) effectiveness.This is a temporary role providing coverage for an employee who will be going on MLA (Maternity Leave of Absence).Essential Job Duties:Manage and coordinate the schedule for the executive(s) including complex calendaring and preparing all the necessary items for the meeting (ex: room setup, catering, technology setup, documents, etc.).

Arrange travel, domestic and internal, and reconcile monthly expenses for the executive(s).

Work cooperatively with a wide range of staff at various levels within the organization as well as external business partners.

Work independently and have the ability to complete a high volume of tasks and projects.

Work as a team player in a responsive and helpful manner.

Take effective action to resolve problems that affect people within the organization.

Perform job duties with a high level of integrity and confidentiality on a day to day basis regarding all matters of the company including matters involving executives and board members inside and outside the company.

Ability to organize time, manage diverse projects and meet critical deadlines.

Draft and edit reports, documents, presentations, and Provost correspondence.

Work collaboratively and professionally with the team of Executive Assistants to ensure that the Executive Suite is functional for the day-to-day operations of the Office of the President.

Proven organizational and administrative skills with a high level of attention to detail.

Take minutes as required, prepares agendas and supporting documents, and completes tasks assigned related to various meetings, such as developing memos, communication and correspondence; identifying meeting participants; collect, prepare, and distribute appropriate briefing materials for all meetings chaired by the Executive(s).

Undertake research projects and collects and analyzes data as background for meetings and special initiatives.

Act as a key point-of-contact for the Executives’ department.

Manage and provide administrative support for special projects, events, as well as special assignments as they arise.

Available to work extended hours and weekends when required.

Assist, prepare, and participate in Board of Trustees meetings as assigned.

Process all communication: phone, email, correspondence and faxes for all assigned executives

Make ad hoc delegation decisions on communications/projects and verify that they have been successfully completed.

Independently manage multiple administrative projects and meet deadlines.

Respond to executive(s) administrative needs when in office and/or traveling.

Additional Job Duties (include but are not limited to):Cultivate positive relationships with departmental staff and provide administrative support to departments, as assigned

Interact with a wide range of people, such as executives, board of trustees, University leaders and faculty, leaders, the public and/or all levels of staff.

Minimum Requirements:5 to 10 years related progressive professional administrative work experience or equivalent combination progressive professional executive administrative experience including five years reporting directly to a senior corporate executive or business owner.

Experience managing and coordinating the schedule and contacts of a senior executive leader(s) (calendar coordination, set appointments, and social arrangements).

Experience coordinating projects and events, setting realistic deadlines, managing timelines.

Experience working with a wide range of people, such as executives, board of directors, University presidents, leaders, the public and/or all levels of staff.

Solid knowledge and usage of Internet and MS Office: Word, Excel, PowerPoint, Access and Outlook.

May require database management with ability to produce reports and ability to use advanced functions, including sophisticated knowledge of the Internet.

Proven organizational, administrative skills and strong attention to detail.

Ability to organize time, manage diverse activities, and meet critical deadlines with little to no supervision.

Ability to coordinate the schedule and contacts of Executive Senior Vice Presidents and other senior management.

Strong written grammar and oral fluency.
