Job Description

The Administrative Support Specialist will assist the Corporate Executive Assistant with the ordering and maintaining of equipment for branch offices and staff, manage corporate expenses, and assist in other administrative duties as assigned.

Essential Job Functions/Responsibilities

· Orders equipment for branch offices including printers, monitors, desktop computers, laptops, computer accessories, etc.

· Orders equipment for staff including laptops, tablets, accessories, etc.

· Assists with the creation, deletion of email accounts through Microsoft Outlook

· Works directly with cellphone provider (Verizon) for remote management, broken devices, etc.

· Manages and tracks company issued tablets (iPads and iPhones) for all locations

· Prepare progress/status reports and submit to team leads as required

· Utilize trouble-ticketing software for opening/updating/closing tickets in a timely and appropriate manner directly with tech consultants

· Identify and document areas for process improvements

· Contact and effectively communicate with staff by telephone, electronic communications, or in person

· Manages and tracks expenses for executive team members

· Administers company issued prepaid cards – placing new orders, activating, adding funds, managing transfers, closing accounts

· Administers office supply accounts for multiple locations – creating accounts, approving orders, tracking invoices

Qualifications

·

AA/AS degree or equivalent in related field

·

1 year of related experience (preferably in healthcare)

·

Experience providing excellent customer service

·

Working knowledge of Microsoft Office Suite, including Word, PowerPoint, and Excel

·

Experience using business email services, such as Microsoft Outlook

·

Comfort multitasking and handling multiple requests from different individuals and branch locations

·

Ability to work quickly and in a potentially high-stress environment

·

Strong communication skills and extremely self-motivated when managing communication channels
