Job Description

Under the direction of the Executive Director, the Office Administrator is responsible for providing administrative support to the Executive Director and administrative leadership to the Annual Support Campaign. The Office Administrator serves as the liaison to the Board of Management.

Qualifications

Professional demeanor, excellent verbal and written communication skills, and the ability to work well with Board of Management, donors, staff, and volunteers
Ability to work within various deadlines, respond to multiple needs, and effectively problem solve
Dependable, reliable, detailed oriented with proven organization skills
Excellent computer skills including working knowledge of Microsoft Office Suite required (Outlook, Excel, Word, Publisher, PowerPoint)

Proficiency recording meeting minutes
Excellent typing and grammar skills
Ensures neat, accurate, detailed results
Proven time management skills with the ability to prioritize and work independently
Ability to effectively manage multiple tasks simultaneously with attention to detail
Ability to work effectively under pressure while meeting deadlines
Visual and auditory ability and willingness to respond to critical incidents and the physical ability to act swiftly in an emergency and follow the branch emergency plan.

Essential Duties and Responsibilities:

Provide administrative support to the Executive Director including, but not limited to the following: maintain and manage calendar; coordinate, arrange, and confirm meetings; reconcile and submit expense reports
Assist with creating and drafting/editing written materials and correspondences, as well as preparing presentations and reports
Coordinate, set up, and prepare materials, meeting room, and food for Board of Director meetings and Committee meetings; record minutes during meetings
Serve as a liaison and interface with Board of Management and donors
Ensure accurate record keeping for Board of Management contacts, roster, terms and meeting attendance
Lead small projects that help to support and improve operational efficiency of the Executive Director
Provide administrative leadership to Annual Support Campaign (ASC) functions including, but not limited to the following: prepare job descriptions, timelines, reports, structure; send thank you letters; order ASC supplies; as well as manage donor appreciation and recognition
Assist with tracking ASC board solicitation progress, billing, and collections
Assist with preparing for all ASC meetings including report parties, Kick-Off and Victory
