Position Summary:

The Administrative Assistant supports Blue Horizon Management Company in all aspects of daily business operations. This position is responsible for preparing written communications for our residents, assisting with invoice processing, assisting with maintenance concerns, additional administrative functions as needed, and working on special projects as needed.

Essential Duties and Responsibilities:

Administrative:

Perform all administrative tasks to ensure the smooth operation of the office.

Assist Community/Property Manager with Action List items and updates.

Maintain vendor files and insurance certifications.

Prepare and monitor non-compliance letters, hearing, and decision notices.

Prepare email blasts and other communications.

Coordinate necessary refreshments and supplies for meetings and functions as necessary.

Resident Relations:

Communicate with residents regarding concerns, questions, and requests for service.

Ensure that all requests are handled timely.

Acknowledge all communication within 24 business hours of receipt.

Plan and supervise social events as requested by the Board.

Prepare newsletters or email blasts to keep residents informed of association events.

Communicate with owners on all non-compliance issues.

Coordinate and implement resident emergency procedures.

Assist new owners with completion of registration forms and review of the document.

Issue access devices, fobs, and transponders.

Maintenance:

Assist on maintenance, landscape, and other service requests and programs.

Obtain competitive bids, review and analyze, and submit to the Community/Property Manager

Schedule, coordinate, and monitor the activities of each contractor, vendor or service provider and report the progress made to the Board.

Monitor and report on the status of all member maintenance requests.

Review the reserve study periodically and make sure all replacement items are scheduled as required.

Make regular property inspections and ensure all maintenance items are handled timely.

Prepare schedules and establish priorities for routine and special work projects.

Minimum Qualifications (knowledge, skills, and abilities):

Positive Attitude on all communication (in-person, phone, written)

Working knowledge of Microsoft Office (e.g., Word, Excel, Outlook)

Excellent computer skills

Professional e-mail writing skills

Must possess proficient ability to communicate in English in oral and written format

Ability to apply discretion and trust with confidential material

One or more years of property management experience - Desired, but not required

Appfolio experience - Desired, but not required
