Under the direction of the Catering Manager, the Catering Sales Associate is responsible for direct customer interaction and sales, establishing effective customer relations. Duties include phone sales, assisting "walk-in" customers, and overall customer relations. The position coordinates and sells the necessary catering products and services to ensure successful events for our clients. Communicates daily with all prospective, existing and current clients on a professional level to ensure that all customer needs are met. Up sales and meets sales goals each month that are set by the Catering Manager. Has complete knowledge of the catering menu and current monthly promotions. Inform customers daily of current monthly promotions. The Catering Sales Associate must then relay that information to the various production and support staff.

Typical Essential Functions:
Meet with customers and provide information concerning menu choices, prices, and services available and establish and maintain effective customer relations.
Process over 3000 sales orders annually involving Advisory Boards, Fall Conference, Open House, and Commencement ceremonies. Set up appointments when necessary and advise customers regarding policies and procedures for event planning
Input all information from client event sheet into the Catering Software System ensuring all necessary remarks and details are included to generate event order forms.
Monitor software computer programs and ensure that all order forms are current, accurate and resolve discrepancies. Walk each revised order form to each coordinating area (Salad Room, Bake Shop, Kitchen, and Catering Services)
Assist with receptionist duties and maintain the Catering Manager's calendar
Maintain the Catering Event Book and process all orders after agreements are reached with customers regarding menu, price, and service and confer with production and service personnel regarding customers' needs. Schedule rooms and assist in developing computer generated room drawings for catered events
Supervise any part-time student employees in all aspects of clerical duties, including new sales phone procedures, printing and distribution of catering event order sheets, and filing
Assist with catered events, when necessary
Perform other duties assigned
Minimum Qualifications:
High School diploma or equivalent
Minimum of one year of experience in performing detailed sales or customer service administrative activities in a fast paced environment, preferably in a Sales, Food, Beverage and Hospitality industry with food service related experience preferred
Knowledge and ability to apply modern office procedures
Computer literacy and skill in use of other modern office equipment
Skill in developing successful working relations with superiors, peers, and subordinates
Great customer service skills and ability to develop rapport with repeat clientele
Become ServSafe certified within first year of service and maintain certification as required
Must be able to deal tactfully in customer contacts and analyze situations accurately in order to identify the necessary dissemination of information to the Catering Manager
Ability to follow oral and written directions
Ability to perform complex, highly responsible and confidential duties
Ability to prioritize, plan, organize, and meet time lines
Ability to lead others in managing tasks; train and evaluate the performance of assigned personnel
Ability to establish and maintain cooperative and effective working relationship with others
Excellent verbal and written skills and the ability to interface with all levels of staff, Board of Directors, university community, including students, faculty and staff, and the public
Interpersonal skills using tact, patience, and courtesy
Ability to maintain regular and reliable attendance
Possession of a valid California Driver's License and satisfactory driving record acceptable to the Corporation's insurance underwriters
A background check is required for all regular benefited positions
The person holding this position is considered a 'mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth inCSU Executive Order 1083 as a condition of employment
Positions are 10-month appointments, with summers and academic breaks off unless work is available.
