Candidate should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail and email. Located in San Luis Obispo, A&J Refrigeration has been installing and servicing commercial air conditioning and refrigeration systems in San Luis Obispo County since 1982. To be successful as an Administrative Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. The Administrative Assistant must be comfortable with computers, general office tasks, and excel at written and verbal communication.

Overview

The Administrative Assistant/Dispatcher will work with the administrative team to deal with a diverse group of external callers as well as internal contacts at all levels of the organization. Independent judgement is required to plan, prioritize and organize a diversified workload.

Major Duties/Responsibilities:

Schedules and organizes activities such as meetings, travel and organizational activities for all members of the organization.

Establishes, develops, maintains and updates the filing system for the organization. Retrieves information from the files when necessary.

Organizes and prioritizes large volumes of information and calls.

Opens, sorts, and distributes mail for the organization. Replies by phone or email when necessary. Responds to regularly occurring requests for information.

Answers phones for the organization. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other assistants to cover phones.

Acts as a liaison with outside agencies, including high-level staff such as CEOs, presidents, and senior vice presidents.

Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for ongoing projects as well as special projects, which may include planning and coordination.

Records, scans, electronically files, and organizes all organizational invoices.

Other duties as assigned.

Education/Experience/Skill Requirements:

Associate degree in related field.

Minimum two years experience in an administrative position.

Ability to maintain confidential and proprietary information.

Proficient in the use of Microsoft Office Suite, particularly Excel, Word, Outlook.

Strong organizational skills, the ability to prioritize in a fast-paced environment, multi-task, and work under minimal supervision.

Attention to detail.

Desire to be proactive and create a positive experience for others.
