Manager of OperationsAlameda, CA Company Summary United States Tennis Association Northern California is a recognized 501 (c) 3 nonprofit organization engaged in promoting and developing the growth of tennis as an inclusive and inviting lifetime activity in Northern California. Located in the Bay Farm Island district of Alameda near the Oakland International Airport, the USTA NorCal pursues their mission by promoting the game of tennis with offering quality recreational and competitive programs for people of all ages and abilities. Position Summary Reporting to and supporting the Executive Director, the Manager of Operations provides managerial leadership and oversight of the financial and operational aspects of the company. This role serves as part of the management team within a company of 35 employees. The ideal candidate should be a high-energy, upbeat, broadly experienced person who hasÂremarkable attention to detail, easily interacts with all levels of employee. The successful candidate will have excellent oral and written communicationÂskills, be highly proficient at interpreting and communicating policy and financial information, and have a successful track record of progressively responsible. The position has 4 direct reports under the General & Administrative department. Key Accountabilities and Responsibilities, including but not limited to: Finance Monitor and oversee financial management of the organization. Prepare financial statements and variance analysis. Develop, monitor and maintain the annual budget to comply with the Strategic Plan of the organization. Collaborate with departments to maintain a rolling forecast. Serve as staff liaison to the Budget & Finance Committee and the Investment Committee. Understand the grants and tennis programming of the organization. Oversee and collaborate with senior accountant. Manage external auditor and facilitate audit requirements. Generate timely reporting and analysis, both scheduled and on demand. Collaborate with IT contractors to ensure the strength and design of the infrastructure. Constant research and assessment for efficiency and innovation of platforms and equipment. Ensure employee IT tools are sufficient or exceed standards. Serve as staff liaison to the IT Committee. IT Administration Project Management Manage a portfolio of finance, data, IT and other projects. Oversee the development, implementation and completion of projects to ensure the integrity of the company goals, budget and liability exposure. Negotiation. Develop and implement USTA Northern California strategies which adhere to USTA national priorities and programs. Consistently assess effectiveness of administrative efforts in comparison to the organization mission, goals and desired outcomes. Enhance and improve policies and procedures to follow USTA Northern California business for staff and volunteers. Data analysis as a tool to guide and drive the company towards goals and successful directives. Ensure compliance with all federal, state and local employment laws. Manage liability exposure and risk strategies. Ensure compliance with company policy and outside agencies. Contract review and assessment. Ensure compliance of benefits. Assess standing of independent contractors.to ensure proper policy, classification and documentation. Collaborate with staff to ensure successful day to day office and company operations. Provide guidance, advice and leadership to staff. Collaborate with administrative staff to maintain compliance with OSHA, ADA regulations, and ergonomic issues. Communicate with staff on a regular basis regarding relevant changes, reports, results and other operational items. Maintain, acquire and dispose of physical assets. Ensure facilities, furniture and equipment is appropriate to the needs of the organization. Identify, recommend and implement any required acquisitions or changes in equipment, both within the approved budget and reserves. Proper maintenance of facilities, furniture and equipment. Strategic Management Compliance Staff and Labor Relations Facilities and Equipment Key Capabilities & Core Competencies Financial expertise including thorough knowledge of GAAP and nonprofit regulations. Business administration and strategy expertise. Ability to exercise sound judgment and appropriate discretion in all matters. Impeccable integrity and ethical standards. Exceptional attention to detail, organization skills and able to prioritize to meet all deadlines. Strong project management experience. Varied analytical skills and abilities. Highly motivated self-starter with the ability to work both independently and as part of a team. Excellent interpersonal skills with the ability to interact effectively and courteously with diverse populations and tactfully handle challenging situations. IT expertise, including hardware and software. Proficient in developing, administering and communicating policies and procedures. Ability to analyze, comprehend and succinctly communicate data and problems. Qualifications and Education Requirements Bachelor's or Master's degree preferably in the field of business administration or accounting. Minimum of five (10) years of business administration, accounting and managerial experience. Prior non-profit experience a plus. Working experience with Adaptive Insights, Concur, QuickBooks, other software and platforms. Additional Eligibility Qualifications Position Description Full time exempt salaried position. Monday through Friday. This position may occasionally require additional hours and travel. Office environment while performing the duties of this position. The employee must be able to maintain a stationary position during the course of most responsibilities and occasionally move up to 35 pounds.
