The Role

We're looking for an experienced executive assistant to join us in our mission to help kids stay curious. In this role you’ll report to and work closely with our Director of People Operations, Michelle Tang, to help to support our team as we continue to grow. At Mystery.org, people operations includes three primary areas—Team Experience, HR and Recruiting—and you’ll be involved in projects within all three of these. As an Executive Assistant, you would also be supporting a range of special projects for the executive team. Here is a little more context on each area:

Team Experience includes retreats, celebrating Mysteryversaries, facilities & office environment, planning key company meetings such as our weekly Town Hall, and the tools and processes that help our remote team feel fully part of the company.

Human Resources includes coordinating perks & benefits, own and continually improving the onboarding and offboarding of new employees, and thinking about the employee experience.

Recruiting includes planning recruiting events, coordinate our interview process with candidates, continually improving our interview process and candidate experience, and improving key sections of our website and external presence to best represent the opportunities we have available.

Supporting the Executive Team includes coordinating logistics for meetings, material preparation as needed to support meetings and projects, etc.

Over time you’ll likely have projects in each of those areas.

About You

We’re looking for someone who combines three key traits: excellent project management skills with a high attention to detail; someone who has a natural affinity for bringing people together, brings an energy and ensures that everyone has a great time; and someone who thinks in terms of systems and processes.

Day to Day

In this role, you'll be juggling multiple priorities simultaneously so the ideal person is someone that has the ability to exercise good judgment in a variety of situations and is hyper organized. We have a lot of great foundation and processes in place, so you’ll help own these and figure out how we can make them better over time. These include coordinating interviews, creating a great office experience (snacks, anniversaries, birthdays, thinking about office details, etc.), planning our bi-annual retreats, leading the onboarding process for new team members, and a range of special projects to support the Executive Team. One week you may be planning a three-day retreat for 30-50 people, figuring out the puzzles of everyone’s travel and the event schedule, and thinking about all the little details that will affect the feel of the event. Another week you may be auditing our new-employee onboarding process to diagnose why we have missed a step a couple times, tweaking our process to address that, and identifying those small touches that ensure new team members with a fantastic first day at the company. You may be the emcee for our weekly Town Hall, facilitating the discussion to keep everyone engaged and having a chance to jump in, and while keeping us to the agenda.

This is an opportunity to help fix science education for the next generation. We are headquartered in San Francisco and this position is based in our office.
