Holistic Chiropractic Practice seeks Part Time Office Manager/Receptionist

Days and Hours:

Mon, Wed, Fri - 9:30 am - 3:00 (or 3:30) pm.

Lunch of 30 or 60 min.

Total of 15-16.5 hours/week.

Pay Scale: $18/hr for first 3 months of training.

$20/hr thereafter.

3 Areas of Focus:

Customer Service - Front desk duties include greeting people, taking payments, phone and email correspondence, and customer support as needed.

Operations - Keeping the office running smoothly with an eye for optimizing processes for efficiency.

Marketing - Finding new patients and retaining current/previous patients.

Skills:

Project Management: Ability to plan and track projects with an accurate awareness of how it will affect operations.

Attention to Detail, good grammar & spelling.

Social Media: Maintain regular posts on Facebook.

Graphic design: Ability to create graphics for social media and print marketing.

Video Editing: Basic skills for filming and editing small educational videos.

Proficiency in DrChrono software, or the ability to learn new systems quickly and accurately.

This position will require you to wear many hats, such as office manager, project manager, customer service, marketing, etc. You will need to think critically, problem solve, and be willing to handle unexpected challenges as they arise. This role is a catch all for a small business that is growing, and is seeking administrative support that can grow with it. The current need is part-time, however as the practice gets busier the need for Front Desk coverage will expand. If the person hired for this role would like to work longer days, or is able to work Tue/Thu evenings, they will be given first choice of hours that become available. If not, the office will hire an additional Front Desk person at that time.

PRIMARY RESPONSIBILITIES:

Your role as the Front Desk Receptionist is key to the business since you are the first experience clients have with the office. We are looking for a bright, outgoing individual who is energized by interaction with a lot of people, and who looks forward to creating community with patients and their families.

Administrative tasks include: Data entry of patient info, creating "Superbills," filing and pulling patient charts, keeping patient charts up-to-date, and printing forms and labels. You will need to learn site-specific software for the office, as well as have a working understanding of Gmail, Google Drive (Docs and Sheets), and basic computer/web literacy.

Tasks will include: Bookkeeping, Technical Software/Hardware Troubleshooting, Facility Maintenance (hiring technicians for repairs), familiarity with Billing/Insurance, Email/Snail Mail, tracking and ordering Supplies, Paying Bills, Research and consideration for ongoing improvement of systems.

Office maintenance includes: Watering plants, stocking supplies, dusting, tidying the bathroom and refilling soaps in treatment rooms, and occasionally cleaning out the fridge.

Marketing: You will work directly with the Chiropractor to design future marketing efforts. You will write and send newsletters, make social media posts, film and edit videos, design graphics and post cards, and more.

The wellness center is looking for someone with strong project management skills who is flexible and communicative. The current office manager will overlap with you for several weeks while you learn the office and we transition to the operations. Therefore, we need someone who is invested in being in this position long term (2-5 years), preferably someone who sees this job as part of their career.

Benefits:

This is a part-time position with some internal-to-the-practice Benefits, but does not provide group Health Insurance.

1 hour accrued Sick Pay for every 30 hours worked.

12 Chiropractic sessions per quarter (a $900 value).

The office closes for major holidays (which are frequently on Mondays), some additionally scheduled office closure days (more likely Fridays), as well as 1-1.5 week(s) around Christmas and New Years Eve. These dates are additional unpaid time off.

Dress is professionally casual, but definitely not corporate. Fashionable flair is welcome (this is Oakland!), as long as it remains professional and family friendly.
