Round Administrator/Executive Assistant Job Description:

Position Description:
We are looking for a team member whose legendary attention to detail and commitment to phenomenal service comes naturally. TMS is looking for a bright enthusiastic, dedicated administrator who resides in Marin and are interested in intermediate to long-term mentoring. This position is ideal for someone who handles responsibility well, wants autonomy, and is a self-starter.
This is an excellent opportunity for someone looking to gain experience working with innovative leaders in launching new initiatives where s/he will get firsthand experience with operations, and business practice, whilst working. .In this role, your responsibilities include the following, as well as those arranged for with the Head of School.
Overtly support and act in accordance with the school’s mission and values
Oversee the proper keeping of student confidentiality, emergency records and procedures
Establish positive rapport with students, parents, and staff
Communicate community events and reminders to families
Manage email and voicemail inboxes from vendors, including responding to emails/calls
professionally and promptly
Be the first line of defense for Answering school telephone
Greet visitors to school and provide information when needed
Contact parent or guardian to pick up child due to illness
Support admissions office when needed
Maintain all office equipment and order toner, paper, etc.
Maintain and order teacher materials and office supplies
Monitor and order cleaning supplies for janitor
Coordinate maintenance matters (plumber, gardener, etc)
Coordinated hot lunch program with vendor
Manage telephone system and update voice mail
Attend staff/faculty meetings as well as in-service days prior to the beginning of the school year
Exec. support responsibilities, including managing schedules, coordinating external meetings, planning and coordinating travel arrangements
Qualifications:
B.A., B.S., (or equivalent experience) a plus
Applicant must have good communication skills with parents, youth and vendors
A passion for working with young people
An openness to professional development and continuous learning
Excellent interpersonal and communication skills
A pleasant approach to work and, ideally, a sense of humor
Excellent organizational skills, and professionalism
Ability to organize, coordinate, and implement
Ability to organize and maintain administrative documents
Excellent written and verbal communication and presentation skills.
Spanish or Mandarin Speaker but not reqired
Works Well Independently
Strong computer skills (MS Office, etc.)
1st Aid/CPR certified a plus
