The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the agency's human resource department. This position will also provide direct support to the Human Resources Director.

Education and Experience:

A minimum of two years of experience in an administrative role. Preference given to candidates with experience in HR, credentialing and behavioral health. Must possess excellent communication skills. Proficiency in all Microsoft applications required.

Minimum Qualifications:

1. Provide proof of current, valid Oregon Driver's License (or if out-of-state will obtain Oregon license within 30 days), comprehensive automobile insurance (if applicable) and a safe driving record (minimum of 3 yrs.) to use company or personal vehicle for required duties.

2. Successfully pass a Criminal Background Check and Medicaid Fraud Check.

Essential Duties and Responsibilities:

A. Provide support and assistance to the HR Director and provides clerical support to the HR dept.

B. Answers frequently asked questions from applicants and employees relative to standard policies, benefits,

hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or HR Director.

C. Prepare and maintain Personnel files soft files and related paperwork.

D. Maintain the integrity and confidentiality of human resource files and records.

E. Performs periodic audits of HR files and records to ensure that all required documents are collected and filed

appropriately.

F. Conducts or assists with new hire orientation.

G. Assist department in creating and distributing orientation and benefit related documents.

H. Enter new hires into Oregon Child Support Portal.

I. Assist the Payroll and Benefits Specialist in reconciling monthly benefits.

J. Create and distribute employee ID badges.

K. Coordinate business card orders for staff.

L. Update and maintain information on the HRIS home page, including phone lists, employee anniversaries,

benefits information etc.

M. Assist with planning and execution of special events such as annual All Staff event.

N. Maintain and create accurate and up-to-date human resource files, records, and documentation.

O. Assist HR Coordinator in processing all post-hire verifications and follow through with Orientation

paperwork.

P. Responsible for tracking required certifications and credentials and managing credentialing process with

CCO's and other Insurers.

Q. Maintain recruitment postings on external platforms.

R. Serve as backup for outreach, recruitment and internship process for all open positions at Kairos.

S. May be appointed to participate and/or take minutes for HR-related committees and/or special projects.

T. Maintain proficiency in all Microsoft applications used for HR transactions and reporting.

U. Provide assistance with updating and maintaining HR Policies, Job Descriptions and various other HR related

documents.

V. Maintain compliance with federal and state regulations related to areas of responsibility

Required Skills and Abilities:

A. Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

B. Excellent organizational skills and attention to detail.

C. Proficient with Microsoft Office Suite or related software.

D. Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.

Other Duties and Responsibilities:

Performs other duties and special project as assigned by the HR Director. May also receive direction from HR Coordinator and Payroll & Benefits Specialist.

Benefits: 2.4 weeks paid time-off, 1 week of paid sick-time the first year of employment, 6 paid holidays per year, health, vision and dental insurance, 401k with up to 6% employer contribution. Agency is qualified for federal student aid public service loan forgiveness program.
