About the Position

The County of San Luis Obispo Administrative Office and Board of Supervisors is seeking qualified candidates for the position of Administrative Assistant III.

The incumbent in the position will report to the Administrative Services Manager of the Administrative Office, and provide administrative assistance to the Board of Supervisors, as well as operational support for the Board of Supervisors Office.

One of the primary roles of this position is providing scheduling assistance, sending and managing calendar invitations, providing miscellaneous support, and operational assistance to the Board of Supervisors and Legislative Aides. Other duties will include but are not limited to: Accounts Payable, Accounts Receivable, creating certificates and resolutions upon request, creating agenda items, Maddy Book appointments, entering time cards for the Board of Supervisors and Legislative Assistants, acting as backup for the front desk receptionist, answering the main phone line for the Board of Supervisors, miscellaneous filing and typing of letters, reviewing Board of Supervisors general email inbox for correspondence and complying with Brown Act requirements and other miscellaneous administrative tasks.

In addition to these roles, the Board of Supervisors office works closely with the Administrative Office to provide support when necessary. It is important for this position to be familiar with all departments of the County of San Luis Obispo and generally what their functions are, especially the Board of Supervisors and the Administrative office.

The department is looking for a candidate that has desire and passion to work in County Government or Public Service, is a self-starter, detail oriented, can work in a fast-paced environment, respectful, hardworking, positive, trustworthy, confidential and honest. Additionally, this candidate must demonstrate professionalism and have excellent written and verbal communication skills.

The Ideal Candidate

The ideal candidate is someone who is self-motivated, possesses a strong work ethic, and has proven work experience supporting high level management staff. Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with attention to detail is required. Excellent communication and interpersonal skills and the ability to handle confidential information is a must. A flexible individual that is adaptable to competing demands and demonstrates quality customer service and response will be most successful in this role. The ideal candidate will also be proficient in Microsoft Office and have the ability to learn new technology.

MINIMUM QUALIFICATIONS:

Graduation from high school or possession of a G.E.D. certificate at the time of employment; AND

Either A: One year of experience performing duties comparable to an Administrative Assistant II Confidential. Or B: Three years of experience performing a wide variety of clerical and administrative assistant duties including word processing/computer experience.

Note: Possession of either a Certificate of Proficiency in secretarial, clerical, or library studies or possession of a paralegal certificate from an accredited institution will substitute for up to one year of the general clerical experience.
