Job Description for Position of

Church Administrator

First Presbyterian Church of San Luis Obispo

I. Purpose

With limited guidance, provides essential administrative support to the Pastor/Head of Staff and performs a variety of administrative functions in conducting the business of the church.

II. Primary Duties

A. Assists the Pastor/Head of Staff in conducting the business of the church by performing a wide variety of administrative functions.

B. Organizes and maintains an efficient and effective church office.

C. Supports church ministries through oversight and leadership.

D. Establishes and maintains effective working relationships with congregants and the public on behalf of the church.

E. Maintains an awareness of church organizational structure and polity, and implements administrative procedures in compliance with the directives outlined in the Book of Order.

III. Responsibilities

A. Maintenance and Property

1. Receives facility use applications, reserves date and presents to Property Committee for action.

2. Assure that buildings are secured at the end of each work day (Revised 2/11/19)

B. Office

1. Supervise and maintain an updated church calendar for scheduled programs, as well as equipment and facility use (including use of van).

2. Schedule maintenance or replacement of office equipment, including coordination between repair provider and user.

3. Schedule and supervise staff and other volunteers for programs and facility use, including memorials, weddings, and other calendared events.

4. Oversee church office operations, including supervising and directing employees.

5. Assure that the office is open for business during all advertised hours of operation. (Revised 2/11/19)

6. Supervise and direct office staff and scheduled volunteers.

7. Provide new staff members with orientation, insuring proper documents are completed and submitted as outlined in the Policies and Procedures Manual.

8. Assure that church files are maintained including, but not limited to, personnel, financial documents, insurance documents, and correspondence.

9. Conduct background screenings for staff and volunteers.

10. Organize First Aid/CPR/AED training for staff and volunteers.

11. Remain current with computer software, providing for efficient and effective records, correspondence, and publicity documents.

12. Edit monthly church newsletter and coordinate distribution.

13. Oversee accurate production and maintenance of church media and publicity.

14. Assure that inventories for supplies are kept current.

15. Prepare and submit complete annual budget for supplies used by the church.

16. Serve as staff liaison with Finance Committee by means of communications and action plans.

17. Prepare vendors’ invoices for payment by the Church’s finance office, assuring that the correct accounts are billed and reconciles credit card statements.

18. Serve as designated church contact for financial services when the Treasurer and/or Financial Secretary are unavailable.

19. Serve as Committees Administrator.

20. Facilitates weekly Staff Meetings.

21. Review and sign all staff time cards before submitting to Head of Staff and then Financial Secretary. (Revised 2/11/19)

22. Attend monthly Communications, Personnel and Property Committee Meetings upon request.

23. Coordinate staff use of vacation and personal leaves.

24. Participate in Performance Review of office and media staff.

25. Other duties as assigned by Pastor/Head of Staff.
