Title: Administration Assistant

Department & Location: Administration Department in San Luis Obispo, CA

Schedule: Weekdays, less than 30hours/week, part-time.

Required Education: Typically requires a high school diploma with at least one year of general work experience preferably in the Accounting or Finance Field.

Compensation: $15/hour depending on experience

We are a group of employee-owned private outpatient orthopedic physical therapy clinics throughout California, Arizona, and North Carolina. Our growth since 1999 has been very organic; we open new clinics where our Team members want to live and work. Many of our physical therapists are board certified specialists, or specialty trained in the areas of orthopedics, geriatrics, sports, vestibular, and hand therapy. We have won APTA's Jayne L. Snyder Private Practice of the Year Award in 2012.

Introduction:

We are seeking an individual who is a quick learner and is able to work independently. This candidate should have strong attention to detail and problem-solving skills. This is a great opportunity to gain experience and skills in an entrepreneurial company that provides opportunities for professional growth. Position is part-time but can progress to full time depending on the Accounting/Administrative Department’s need. Responsibilities, Tasks, and Competencies:

-Receiving, sorting and opening incoming mail to distribute to other departments or individuals for a multi-entity, multi-location, multi-state healthcare organization.

-Scan insurance checks and correspondence and prepare payment batches for specified entities.

-Date stamp all insurance correspondence and scan to Billing Department.

-Manage travel plans for the company

-Backup Purchaser for the department

-Assists in review and maintenance of Outstanding checks

-Support and assist the Accounting/Operations/HR Department in various miscellaneous tasks such as scanning, filing, creating binders, shipping and mailing stuff, and other clerical projects for the departments.

-Assists in completing moderately complex calculations

-Basic understanding of bookkeeping and accounting principles

-Proficient with spreadsheets and other software tools.

-Possess moderate understanding of general aspects of the job

-Ability to plan and schedule work assignments with fluctuating work volume

-Ability to meet stringent deadlines

-Must be organized, accurate, conscientious, and detail-oriented.

Job Responsibilities Related to Patient Privacy:

-May access protected health information and other patient information only to the extent that is necessary to complete job duties. May only share such information with those who have a need to know specific patient information in order to complete job responsibilities related to treatment, payment or other Company operations.

-Encouraged and expected to report, without the threat of retaliation, any concerns regarding the Company’s policies and procedures on patient privacy and any observed practices in violation of that policy to the designated Privacy Officer.

-Expected to actively participate in Company privacy training.

-Required to communicate privacy policy information to coworkers, students, patients and others in accordance with company policy.

-Comply with OSHA, federal and state regulations.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The position walks, sits, stands, bends, lifts and moves continually during working hours. The position is subject to lifting objects weighing over 50 pounds, pushing wheel chairs, and transporting and supporting residents. The employee must be constantly alert for resident safety.
