What are we looking for:

-We are looking for a an Admin. Generalist & Bookkeeper to join our growing team

-This is a multifunction position that will (in general) be responsible for general bookkeeping, AP/AR management, financial reporting, human resources tasks, general office organization and administrative duties as assigned

-This position is offered at 32 hours per week presently - (it is likely that this will increase quickly)

Purpose of Position:

-You will prepare bi-monthly payroll in collaboration with a contracted payroll service

-You will own all aspects of the day-to-day financial transactions to ensure month-end, and year-end financial reports are completed accurately and on time

-You will analyze financial data and create clean and concise reports for management as needed

-You will assist in developing strategies and establish objectives which could have a financial impact on the business

-You will support the HR function(s) of the business

The day to day:

-Assist Administrative Staff and Project Managers in general project accounting from project start to finish

-Coordinate with clients for billing and payment protocols and attend to any unique requirements/needs

-Support Administrative Staff in preparing invoices for client billing

-Review project documentation and ensure that invoicing is accurate and aligns with contract terms

-Prepare project wavers and lien releases (as needed)

-Answer customer inquiries/disputes related to billing

-Analyze customer accounts and assist in collection of outstanding balance(s)

-Assist with hiring and onboarding of new personnel

-Assist with HR file organization and record keeping

Knowledge and Experience:

-You must possess an Associate’s Degree (A.A.) or be able to demonstrate an equivalent level of formal training/education in accounting and finance

-3+ years of related experience in Accounting/Bookkeeping (required)

-3+ years of in-house payroll and accounting experience (preferred)

-An understanding and proficiency in project management processes and terminology

-A working knowledge of the architecture/engineering/construction industry, and client relationship management (preferred)

-Must have a strong understanding of accounting principles and experience in project billing

-Must have impeccable spelling, grammar, and communication skills

-Must be an expert user of Microsoft Office software (primarily Word, Excel, and Outlook)

-Must have experience in Quickbooks or similar software platform for preparing project estimates, billing/invoicing, purchase orders, etc…
