Well established fire protection company in business since 1981 is looking for a very dependable administrative assistant to join our team.

Hours are M-F 8am-5pm. Occasional (rare) Saturday work.Need to have reliable transportation.

This position will last 6 months but high probability of permanent position needed thereafter.

Qualities/Skills required:

Minimum 1 year experience in scheduling

Minimum 2 years QuickBooks experience

Minimum 5 years experience in an Office setting

Minimum 5 years Customer Service experience. We have no walk-ins but busy phones with customer calls.

Excellent phone etiquette

Organization. Our office is highly organized and efficient. Need someone who appreciates organization.

Heavy data entry, need to have attention to detail and good math skills

Must have Basic knowledge and be a fast learner of computer applications and ability to troubleshoot small IT issues.

Strong work ethic

Strong problem solving skills

Ability to work well with others and show kindness even when disagreements arise.

Positive attitude.

All work is performed on a computer sitting at a desk. Must be able to able to use a computer and sit at a desk for long periods with or without accommodations.

Job Description:

Assist in all aspects of Office/Operations duties.The goal for the person in this position would be to be able to fill in for our current Operations/Office Manager and any other Office position when that person is out along with continuing working on their regular assigned work. Because of this there will be some weeks where overtime will be required.

Such Duties will include:

Job Set-up, Coordination and Follow up with customers, field technicians, and Material handlers.

Install Project Management will include submitting applications and plans for necessary permits.

Invoice processing.

Completion and sending of Fire Dept Reports

Filing

Answering phones and responding to email in a timely manner and sufficiently addressing customer's concerns.

No use of social media is allowed during working hours.No personal use of phone allowed during working hours.
