Job Summary
Position: Accounting Office Assistant
Department: Accounting
Location: Stockton Office
Supervisor: VP Fiscal Operations
Schedule: Monday – Friday, 8:00am – 5:00pm (subject to change anytime)
Responsibilities and Duties
Transfer all incoming timesheets received via email, mail and office drop off to Drop Box folder.
Prepare all timesheets received for payroll processing.
Receive all incoming calls from Auto Attendant Timesheet Verification option
Check Accounting Dept. voicemail daily. Return calls as appropriate, route other non-accounting related calls to the appropriate person.
Check Accounting Dept staff’s voicemail during payroll and billing processing period (Do Not Disturb days). Return calls as appropriate, route other non-accounting related calls to the appropriate person.
Assist Fiscal Clerks with irregular timesheets received
Perform timesheet signature audits
Provide back-up assistance to front desk
Perform other job-related duties as assigned
Qualifications
Strong computer skills i.e., navigating between different programs and network.
Must be proficient in Microsoft Word, Excel, and Outlook
Bilingual English/Spanish is required
High School Diploma with 1+ years of experience
Excellent written and verbal communication skills
