JOB SUMMARY

Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system. Attend to visitors and deal with inquiries on the phone and face-to-face. Supply information regarding the organization to the public, clients and customers.

ESSENTIAL FUNCTIONS

1. Answer all office phone calls

2. Direct digital faxes

3. Send/receive and disburse mail daily

4. Send/receive FedEx shipments

5. Order office supplies (maintain office inventory)

6. Maintain company apparel inventory

7. Maintain common areas (reception/conference )

8. Maintain kitchen area and kitchen inventory

9. Close down office at the end of the day: turn off lights, shut/ lock doors

10. Data entry

11. Coordinates and implements general office services such as appointment-setting, records control, and other administrative activities.

12. Locates and compiles information. Formats reports, graphs, tables, records and other sources of information.

13. Assists with special events planning.

14. Operates personal computer to access e-mail, electronic calendars, and other basic office support software.

15. Other administrative duties as assigned or requested

16. May Schedule personnel for approved travel on commercial flights, trying to economize wherever possible.

17. Coordinate Building Cleaning (Vanguard).

18. May Assist in obtaining the best possible rates for hotel or motel accommodations and automobile rental.

19. Sign in and Sign out of visitors

20. Human Resources tasks as assigned

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.

The noise level in the work environment is usually light to moderate.

MINIMUM QUALIFICATIONS (Education, Experience, Skills)

High School Diploma or GED

Three years of related experience. Additional education may be substituted for years of work experience.

Able to exchange non-routine information using tact and persuasion as appropriate.

Strong, detail oriented organization skills.

Cheerful attitude and willingness to adapt to a fast-paced work environment.

Intermediate knowledge of computers and Microsoft Office, Excel.

Ability to multi-task.

Excellent communication skills (oral and written) and a strong telephone presence.
